Position Overview:
The Office Coordinator will play a vital role in supporting office operations, coordinating administrative activities, and ensuring a smooth and welcoming experience for staff, visitors, and external partners. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced cultural setting.

Responsibilities of the Office Coordinator:
  • Coordinate daily office operations and administrative functions.
  • Greet visitors, guests, and vendors in a professional and welcoming manner.
  • Answer and direct incoming calls and emails.
  • Schedule meetings, maintain calendars, and coordinate conference room usage.
  • Assist with data entry, filing, document management, and recordkeeping.
  • Order and maintain office supplies and inventory.
  • Support internal departments with administrative projects and special events.
  • Assist with meeting preparation, catering coordination, and logistics.
  • Process incoming and outgoing mail, packages, and deliveries.
  • Help maintain organized and efficient office workflows.
Required Experience/Skills for the Office Coordinator:
  • 1 - 3 years of administrative, office coordination, or customer service experience.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Professional demeanor and strong interpersonal skills.
  • Ability to work independently and collaboratively within a team environment.
Preferred Experience/Skills for the Office Coordinator:
  • Experience working in a museum, arts, nonprofit, educational, or cultural organization.
  • Event coordination or visitor services experience.
  • Experience supporting multiple departments or stakeholders.
Education Requirements:
  • Associate's degree is required.
  • Bachelor's degree is preferred.
