What You’ll Do (Your Impact)
Client Communication & Customer Experience
- Answer inbound calls, emails, and messages professionally and promptly
- Coordinate outbound communication with clients regarding scheduling, updates, reminders, and follow-up
- Help resolve client concerns and maintain a high level of customer satisfaction
- Maintain clear and professional communication between office, field team, and clients
Scheduling & Operations Coordination
- Schedule work orders and coordinate technician routes alongside the Field Operations Manager
- Maintain job calendars and ensure technicians have accurate scheduling information
- Assist in managing workflow efficiency and operational organization
- Communicate schedule changes, weather adjustments, and operational updates
Financial & Administrative Support
- Manage accounts receivable and accounts payable responsibilities
- Support bookkeeping and reconciliation processes
- Process payroll hours accurately and on time
- Maintain organized documentation, receipts, invoices, and operational records
KPI Tracking & Reporting
- Track operational KPI data and assist with reporting
- Help monitor scheduling efficiency, invoice status, technician documentation, and operational consistency
- Assist leadership with reporting visibility as the company grows
Inventory & Office Organization
- Track inventory levels and assist with supply management
- Help maintain organization of office systems and operational processes
- Support SOP documentation and process improvement initiatives
Social Media & Brand Support
- Assist with posting social media content, customer reviews, and company updates
- Help maintain a professional and consistent online presence for the brand
Team & Administrative Support
- Support onboarding and administrative communication
- Coordinate with outsourced partners including payroll, bookkeeping, insurance, and vendors
- Help create operational consistency across the company

Preferred Experience
- Administrative, operations, office management, or scheduling experience
- CRM software experience (Markate or similar preferred)
- QuickBooks or bookkeeping experience preferred
- Experience supporting operations, field teams, or service businesses is a plus
- Social media management experience is helpful but not required
Position Details
- Full-time hourly position
- Starting pay: $20.00–$25.00/hour based on experience and qualifications
- Primarily in-office role with partial remote flexibility
- Office presence expected during part of the day
- Remote work flexibility available during portions of the workweek
- This role includes limited Saturday availability to monitor and respond to incoming client calls, scheduling needs, and operational communication as needed
