Job Title: Office Manager
Pay: $25.00 - $28.00 per hour
Hours: Monday - Friday, 8:00 AM - 5:00 PM

As an Office Manager, you'll oversee office functions, support leadership, and ensure the team has what it needs to succeed. You’ll work closely with management, field crews, clients, and vendors to keep everything running seamlessly.

What You’ll Do
As an Office Manager, you will be responsible for:
  • Managing phones, emails, calendars, office supplies, and daily workflow; maintaining organized digital and physical records; preparing job packets, permits, and reports to support field crews.

  • Customer Service & Scheduling: Serving as the professional first point of contact; collecting and entering customer leads; assisting with scheduling estimates, jobs, crew coordination, and tracking weather delays.

  • Basic HR Support: Assisting with job postings, onboarding paperwork, and maintaining employee files; tracking attendance, safety training, and certifications while maintaining strict confidentiality.

  • Payroll & Billing Support: Collecting and reviewing timecards and receipts; assisting with customer billing, vendor invoices, and assigning labor/material costs to the correct jobs.

  • Social Media & Marketing Support: Creating and scheduling basic social media posts (Facebook, Instagram, LinkedIn); collecting before-and-after jobsite photos; monitoring online reviews and inquiries.

What You’ll Bring
The ideal candidate for this role will have:
  • Strong interpersonal and communication skills, serving as a professional and friendly first point of contact.
  • Proficiency in digital record-keeping, email management, and office software platforms (including Microsoft Word and Excel).
  • Strong multi-tasking skills, with the ability to manage changing schedules, crew needs, and phone inquiries with interruptions.
  • Self-awareness and pro-activity in identifying the needs of leadership, field crews, and clients.
  • Excellent attention to detail, specifically regarding job costing, time card tracking, and project documentation.
  • High level of integrity and discretion when handling sensitive employee, payroll, and financial information.
  • Experience with QuickBooks or basic construction accounting/job costing preferred.
  • Previous experience in a construction or trades office environment is a major plus.
