Job Description:
Old Republic Title is seeking a highly organized, proactive, and customer-focused Office Manager, Agency & Communications Coordinator to support agency operations, communications, marketing initiatives, and office administration. This multifaceted role serves as a key liaison between agency representatives, underwriting, marketing, and agents while ensuring the smooth day-to-day operation of the office.
The ideal candidate is a strong communicator who enjoys managing multiple projects, coordinating events, creating professional communications, and supporting both internal teams and external customers. This position offers a unique opportunity to combine office management, marketing coordination, event planning, and administrative support within a collaborative and fast-paced environment.
Key Responsibilities
Agency Communications & Marketing
Develop, produce, and maintain agency communications, including newsletters, bulletins, alerts, presentations, seminar materials, and marketing collateral.
Serve as a liaison between agency representatives, underwriting, corporate marketing, and agents.
Coordinate the creation and distribution of marketing materials and communications in partnership with the corporate marketing team.
Maintain agent databases, contact lists, and communication distribution channels.
Support social media, website updates, and other communication initiatives as needed.
Event Planning & Continuing Education
Coordinate and manage agent seminars, webinars, training sessions, and industry events from planning through execution.
Prepare presentations, registration materials, and attendee communications.
Maintain state-specific educational and event resources.
Obtain Continuing Legal Education (CLE) approvals and manage reporting requirements for educational events.
Office Management & Administration
Provide administrative support to the State Manager and departmental teams.
Coordinate office operations, meetings, travel arrangements, and employee activities.
Manage office vendors, supplies, equipment, and inventory.
Partner with IT, facilities, and property management to address office needs and implement improvements.
Maintain office records, files, and documentation in accordance with company policies.
Assist with expense tracking, invoice processing, and basic financial reporting.
Process Improvement & Operational Support
Maintain and update office procedures, reference materials, and operational resources.
Ensure adherence to company branding standards across all communications and presentations.
Support cross-functional initiatives and special projects as assigned.
Deliver exceptional service to internal and external customers.
Qualifications
Required
3+ years of experience in office administration, communications, marketing coordination, event planning, or a related role.
Proficiency in Microsoft Office Suite, Outlook, and presentation software.
Exceptional organizational skills with the ability to manage multiple projects and deadlines simultaneously.
Strong written and verbal communication skills with excellent attention to detail.
Ability to work independently, exercise sound judgment, and take initiative.
Professional, positive, and customer-focused approach to problem solving.
Preferred
Experience in the title insurance, real estate, legal, financial services, or professional services industries.
Familiarity with social media management and digital communications.
Experience coordinating educational programs, seminars, webinars, or continuing education events.
