We are seeking a highly organized and experienced Office Manager to lead the administrative operations of our family medical practice. This role ensures the clinic runs smoothly day-to-day, with a strong focus on staff scheduling, payroll processing, and back-office coordination. The ideal candidate is a proactive problem-solver who thrives in a fast-paced healthcare setting and is committed to delivering exceptional support to both staff and patients.


Key Responsibilities


  • Oversee daily operations to ensure the office runs efficiently and professionally

  • Manage staff schedules, including providers, medical assistants, and front desk personnel

  • Process biweekly payroll accurately and on time, including timekeeping and PTO tracking

  • Maintain appointment calendars and coordinate patient flow to optimize provider productivity

  • Collaborate with HR on hiring, onboarding, and maintaining up-to-date office policies

  • Monitor office equipment and coordinate with IT for maintenance and troubleshooting

  • Ensure compliance with HIPAA, OSHA, and other healthcare regulations

  • Support front desk operations and assist with patient service issues as needed

Qualifications


  • High school diploma or GED required; associate’s or bachelor’s degree preferred

  • Minimum 5 years of experience in medical office management 

  • Proven experience with payroll systems and back-office operations

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software

  • Familiarity with Electronic Health Records (EHR) systems

  • Excellent communication, leadership, and organizational skills

  • Strong attention to detail and ability to manage multiple priorities
