Position Summary

The Office Manager / Administrative Assistant is a part-time leadership support role that requires strong organizational skills, relational communication, administrative excellence, and a heart for ministry. This individual will help create healthy operational systems that allow Heartland Youth For Christ to effectively reach young people with the hope of Jesus.

This role supports the daily administrative and operational functions of the organization, helping maintain a healthy ministry culture while ensuring excellence in communication, organization, reporting, scheduling, and office management.

This position works closely with the Executive Director and ministry staff to support the mission and vision of Heartland YFC through operational stewardship and relational leadership.

This role is part-time at approximately 20 hours/week.

Essential Functions
  • Administrative Operations (40%)
  • Manage daily office operations and administrative systems
  • Coordinate calendars, meetings, scheduling, and organizational communication
  • Assist with donor records, data entry, reports, and database management
  • Maintain organized digital and physical filing systems
  • Prepare documents, spreadsheets, ministry reports, and correspondence
  • Help coordinate staff meetings, board meetings, and ministry events
  • Manage office supplies, inventory, and general office upkeep
  • Assist with volunteer and staff onboarding paperwork and processes
  • Support communication with churches, donors, volunteers, and ministry partners
  • Help maintain compliance with YFC administrative standards and processes
  • Financial & Organizational Support (30%)
  • Assist with receivables, payables, expense tracking, and financial organization
  • Support budgeting processes and reporting preparation
  • Help track grants, sponsorships, donations, and event-related administrative tasks
  • Coordinate record keeping and reporting needs for ministry operations
  • Assist with maintaining accurate donor and ministry data
  • Staff & Ministry Support (20%)
  • Support ministry staff with administrative and logistical needs
  • Help create systems that allow ministry leaders to focus on relational ministry
  • Assist with volunteer onboarding and compliance
  • Participate in staff meetings, prayer times, and organizational planning
  • Serve as a relational and encouraging presence within the ministry team
  • Help maintain a healthy, vibrant office culture rooted in Christ
  • Communication & Project Coordination (10%)
  • Assist with internal communication and ministry coordination
  • Help organize projects, timelines, and operational priorities
  • Ensure follow-through on administrative tasks and deadlines
  • Communicate clearly and professionally with staff, volunteers, donors, and community partners

Preferred Skills & Experience

Experience in administrative support, office management, nonprofit operations, or related work

Familiarity with Google Workspace, Canva, donor databases, spreadsheets, and organizational systems

Experience in ministry or nonprofit environments preferred

Ability to adapt in a fast-paced ministry environment

Required Skills & Experience

High school diploma or equivalent

Ability to work in the office throughout the week (some tasks can be done remotely, but not all)
