JC Davis Power is growing, and the details behind our operations have to keep pace with the crews in the field. The Office Manager is the person who makes sure they do.
This is an onsite, full-time role that owns the administrative backbone of our operation: keeping our vehicle fleet registered, inspected, and road-legal; keeping mail and documents moving to the right people; managing the office and the vendors who keep it running; and partnering with our Director of EHS to keep safety and training records complete and current.
This is a desk-based role with some local errands — you’ll make occasional trips to the tax office and elsewhere to keep our paperwork current. You support our field operations, but your work happens at a computer and around the office, not on jobsites.
This is a role for a seasoned, highly responsible person who takes real satisfaction in things being done right and on time. You will juggle a lot of moving deadlines, and the people around you will count on the fact that nothing slips through the cracks on your watch. This role has real ownership from day one — and as we grow, so will its scope. The person who does this well will have the opportunity to grow their responsibilities right along with the company.
Fleet Administration
Keep every vehicle in our fleet legal, documented, and ready to work.
Own vehicle registrations and renewals across the fleet, tracking expiration dates and completing renewals well ahead of deadlines
Maintain accurate, organized records for each vehicle, including titles, registrations, insurance cards, and inspection status
Coordinate state inspections and ensure current documentation is in place for every vehicle
Manage toll accounts and resolve toll, citation, and registration issues promptly
Support fleet additions and disposals with the associated title, registration, and paperwork steps
Handle local errands tied to fleet and company paperwork, including trips to the tax office for registration and title work
Safety and EHS Support
Partner with our Director of EHS to keep the administrative side of our safety program airtight.
Enter and maintain training records in HSI and HSE systems, including recording completions from outside training providers
Track required trainings, certifications, and licenses across the team, flagging upcoming expirations and helping coordinate renewals
Keep safety documentation organized, current, and audit-ready
Support safety program logistics such as new hire safety paperwork, training scheduling, and recordkeeping for safety meetings
Office and Facilities
Own the space and the vendors who keep it running.
Own facility vendor relationships — cleaning, waste and trash removal, and others as they come up — serving as the point of contact, holding vendors accountable, and resolving service issues before they become recurring problems
Track facility and office costs and bid vendors competitively to ensure good value, taking ownership of managing spend against budgets as the company builds them out
Set up and organize the space for training sessions and meetings, ensuring the room and materials are ready before people arrive
Assess what the space needs to run efficiently and support the team, and recommend improvements
Coordinate team lunches and onsite events that keep the crew fed and connected
Mail and Document Handling
Keep mail and documents moving so nothing sits, stalls, or gets lost.
Check, sort, and distribute incoming mail daily, routing time-sensitive items such as invoices, government notices, and legal correspondence to the right person the same day
Scan, file, and organize documents so records are easy to find when someone needs them
Handle outgoing mail and shipments as needed
General Administrative Support
Be the extra set of hands a growing company needs.
Provide day-to-day administrative support to operations leadership
Build and own a clear, consistent file structure for operations, and maintain organized physical and digital filing systems so anyone can find what they need without asking
Help build and improve administrative processes as the company scales
Take on special projects and additional administrative duties as we grow
5+ years of administrative experience, with readiness to own a role rather than just execute tasks
Highly organized and deadline-driven, able to track many moving pieces without letting anything fall through
Comfortable learning and working in software systems, and solid with Excel or Google Sheets
Clear communicator who follows through and is not shy about chasing people down when something is due
Handles sensitive information with discretion
Seasoned and self-directed, comfortable in a fast-moving, growing company where processes are still being built
Valid driver’s license and comfortable running occasional local errands
Able to work onsite full-time in Elgin, TX
Experience with vehicle fleet administration, DMV/county registration processes, or DOT recordkeeping is a plus
Experience managing office operations or facility vendor relationships is a plus
Exposure to safety or EHS recordkeeping, or training management systems such as HSI, is a plus
