Position Description

Advertised Job Summary

Under limited supervision, serves as Office Manager for the Controller's Office and Executive Assistant to the Controller. Responsible for planning, coordinating, and managing the administrative, operational, financial, and business functions of the Controller's Office, including General Accounting, Grants and Funds Management, Payroll, Capital Finance, and Banking and Treasury Management. Ensures efficient office operations, supports departmental leadership in strategic initiatives, manages budgetary and procurement activities, coordinates human resources functions, and oversees administrative processes that support the mission and goals of the division.

Job Related Minimum Required Education and Experience

Requires a bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

  • Highly organized with attention to detail and ability to coordinate multiple tasks, handling all matters expeditiously.
  • Strong computer skills with proficiency using Microsoft Office, Excel, PowerPoint, Outlook and electronic calendaring.
  • Excellent proofreading skills essential.
  • Thorough knowledge of processes and procedures pertaining to administrative support and general office management.
  • Ability to handle sensitive information and communication requirements in a discreet and confidential manner.
  • Considerable knowledge of university regulations, processes, and procedures preferred.

Job Duty

Office Operations, Financial Administration, and Business Management

Manage the daily administrative and business operations of the Controller's Office by coordinating office-wide activities, implementing operational improvements, and ensuring efficient workflow across functional areas. Assist with development, monitoring, and reconciliation of the departmental operating budget, including tracking expenditures, preparing budget reports, and identifying funding needs. Manage departmental procurement activities, including requisitions, purchase orders, and procurement card (P-Card) administration, ensuring compliance with University policies and fiscal accountability. Coordinate special projects and operational initiatives for the Controller and leadership team.

Executive Support and Strategic Coordination

Provide high-level executive support to the Controller by managing complex calendars, coordinating meetings and departmental events, preparing agendas and briefing materials, recording meeting minutes, and tracking action items. Serve as a liaison between the Controller's Office and internal and external stakeholders while supporting leadership initiatives and strategic priorities.

Staff Administration and HR Liaison to Shared Service

Manage and coordinate human resources activities for the Controller's Office, including HR coordination with HR Shared Services, EPMS administration, training coordination, leave administration, and personnel records. Coordinate and manage the Controller's Office employee appreciation and recognition program, including planning employee

engagement activities and recognition initiatives that promote a positive and collaborative workplace culture.

Administrative Services and Resource Management

Oversee office facilities and administrative resources, including equipment and asset inventory, records management, office space coordination, supply and equipment procurement, vendor and service contract coordination, and resolution of technology and facilities issues. Develop and implement administrative processes that improve operational efficiency and support departmental effectiveness.

Financial Operations Support

Coordinate desktop deposit activities for the Controller's Office, ensuring deposits are processed accurately, timely, and in accordance with University policies. Collaborate with General Accounting and the Bursar's Office to resolve issues and maintain effective financial controls.

Cross-Functional Support and Special Projects

Provide operational and administrative support to Finance and Administration units as needed, including serving as backup to the Budget Office Administrative Coordinator.
