POSITION SUMMARY:
The Office Manager is a full-time position reporting to the President and CEO. In addition to managing the general office operations and supporting the Business Administration team, they are responsible for ongoing administrative support of the national executive board, the CEO, and the senior leadership team.
ESSENTIAL FUNCTIONS:
Serves as Executive Assistant to the CEO and members of the national senior leadership team, scheduling meetings and coordinating travel.
Manages general office operations, including opening and routing mail, processing invoices, scheduling staff meetings, overseeing new hire processes, vehicle use scheduling, and managing office vendor relationships (copier, postage machine, utilities, office supplies, cleaners, repairs and maintenance).
Serves as lead administrative support to the national executive board, including managing meeting schedules, recording minutes, tracking governance related items, and coordinating committee rosters. This position is also responsible for the logistics surrounding all board meetings (virtual and/or in-person), including an annual in-person multi-day retreat.
Assists the Business Administration department by processing weekly bank deposits, check cutting as needed, printing, gift acknowledgements, and serves as backup to other administrative tasks.
Coordinates annual staff retreat logistics, including lodging, meals, travel and guest speaker support.
Tracks and submits annual business compliance registrations for the organization.
Manages the organization’s vehicle registrations and maintenance.
BACKGROUND/EXPERIENCE:
Bachelor’s degree and 3 years of experience as an Executive Assistant (preferably at a nonprofit).
Office management experience preferred
Requires strong communication, attention to detail and organizational skills.
Event planning experience preferred
Bookkeeping experience is a plus.
Strong Microsoft Office computer skills required
Experience working in a database a plus.
