Job Summary/Basic Functions

The Career and Workforce Division at the University of Mary Washington is seeking an Office Manager to support three teams including the Career Center, Internship Initiatives, and Continuing and Professional Studies. This role will be the primary administrator reporting to the Associate Provost for Career and Workforce. Responsibilities include purchasing and reconciliation of expenditures; administrative support; some event planning and support; and coordination of facilities and vendors. If you enjoy working with an active team doing new and innovative things, this is the job for you! This job is on site Monday through Friday with core hours from 8 am to 5 pm, with some (infrequent) late afternoon or evening events.

Required KSAs/Competencies/Qualifications

  • Ability to establish and maintain streamlined administrative processes and management of records using appropriate software systems.
  • Knowledge of purchasing processes to include reconciliation/balancing revenue and expenses for programs.
  • Strong communication skills, both orally and in writing, and ability to communicate with a diverse audience including program participants, students, faculty, and internal and external communities of interest.
  • Ability to work independently and with others.
  • Willingness to participate in training courses to improve performance.

Required Experience:

  • Previous experience working in an administrative assistant position in an office environment.

  • Previous experience using Microsoft Office products; SharePoint, Workday (or similar ERP), and financial management software.

Additional Considerations:

KSAs:

  • Willingness to learn new software programs to collect, manage and report program data.

  • Ability to understand concepts; be adaptable and meet timeline requirements.

  • Conflict management skills.

EDUCATION:

  • Professional baseline and continuing education related to office management and interpersonal skills.

Experience:

  • Prior experience in a business or academic work environment.
