The Office Manager shall oversee day-to-day operations, as well as the planning, coordination and management of all office activities, in accordance with State and Federal laws and regulations and company policies and procedures.
A successful Office Manager will be a trusted leader and a highly motivated individual who will lead our rapidly growing company.
Essential Functions:
Staff Management:
Demonstrates strong written/verbal communication skills to foster a safe and efficient working environment. The office manager will also be a primary point of contact for clients.
Develops initiatives to improve operational efficiencies and ensure employee compliance with company policy.
Develops daily/weekly/monthly reports to track company objectives.
Develops employee improvement plans to foster employee growth.
Develops initial and continuing employee training for non-clinical office staff.
Ensures office safety to protect client and caregiver confidentiality and the integrity of the company.
Demonstrates the ability to make informed decisions to quickly resolve problems.
Must be able to work independently.
Information Management:
Coordinates and manages client on-boarding and off-boarding.
Coordinates and manages caregiver on-boarding and off-boarding.
Oversees office staff to ensure completion and tracking of references, health screenings, criminal background checks, and drug screens for new hires and existing staff if applicable.
Ensures that all information is kept confidential in compliance with the Health Insurance Portability and Accountability Act (HIPAA).
Customer Service:
Assures that all telephone traffic is managed in a professional, customer service-oriented manner, and is relayed to the appropriate people in a timely manner.
Ensures that all customer commitments are met on time.
Responsible for customer service training for clerical and administrative support staff.
Other tasks as assigned.
Education & Experience:
Bachelor's degree desired.
Experience Requirements:
Two (2) years of office management experience required.
Skill Requirements:
Demonstrates organizational, written/composition skills, and verbal skills.
Demonstrates typing skills, filing skills, and word processing skills (Microsoft Office Suite including Microsoft Word, Outlook, Excel, etc.).
