Office Manager, Human Resources

Position Overview:

The Office Manager, reporting to and supporting the Associate Vice President of Human Resources, plays a pivotal role in ensuring the smooth daily operational flow of the HR office while providing high-level executive and administrative support. This multi-faceted role serves as the face of HR at the front desk, acts as the primary executive assistant to the AVP of HR, and offers administrative backing to the HR team. The Human Resources Department at Denison University serves as a strategic partner to the campus community, dedicated to attracting, retaining, and supporting a diverse and high-achieving faculty and staff. Responsibilities:

• Proactively manage complex calendars, coordinate meetings, and resolve scheduling conflicts for AVP.
• Schedules Human Resources team meetings and coordinates logistics.
• Screen calls, draft correspondence, and prepare reports or presentation decks as requested.
• Arrange travel itineraries, accommodations, and process monthly expense reports.
• Handle sensitive employee, executive, and organizational data with strict discretion.
• Greet visitors, clients, and employees warmly and professionally, ensuring a positive first impression.
• Manage the main company phone line and monitor/respond to general email inboxes in a timely manner.
• Oversee incoming and outgoing mail, packages, and courier services.
• Monitor and maintain inventory levels for office supplies, breakroom items, and equipment.
• Manage department budget in conjunction with AVP.
• Handle all scheduling and logistics for HR-led initiatives; Onboarding, Supervisor Meetings, etc
• Ensure common areas, conference rooms, and reception are clean, orderly, and well-equipped.
• Assist HR Business Partners with administrative tasks as needed.
• Assist with logistics for new hire orientation; scheduling, room reservation, catering.

Minimum Requirements:

3-5 years of combined experience in office management, executive assistance, or HR administrative roles.

High School Diploma required

Preferred Requirements:

Bachelor's Degree in Business Admin, HR, or related field.

Experience with the Workday system.
