Position Overview: We are seeking a skilled and detail-oriented Office Manager to handle both financial and administrative responsibilities, ensuring smooth daily operations at KCBS. In this role, you’ll be responsible for managing bookkeeping tasks using QuickBooks Online, supporting office administration, and assisting with event logistics. You’ll work closely with a small team of dedicated staff, but also need to be proactive and self-sufficient to handle individual tasks as they arise.
Key Responsibilities:
- Oversee day-to-day office operations, ensuring a well-organized and efficient work environment.
- Bookkeeping & Financial Management: Perform daily bookkeeping using QuickBooks Online, manage accounts payable/receivable, and work with accountants
- Financial Reporting: Assist in preparing monthly financial statements.
- Office Administration: Organize office systems, schedule meetings, handle member inquiries, and assist with general office tasks.
- Event Support: Coordinate logistics for events, including occasional travel and weekend work as required. (3 - 4 weekends each year and travel once each year).
- Customer Service: Provide exceptional customer service to members and external vendors.
- Operations Support: Troubleshoot and resolve office-related issues, ensuring smooth day-to-day operations.
- Collaborate with team members on projects and initiatives, contributing to a positive and productive team dynamic.
Qualifications:
- Minimum of 3 years of office management or bookkeeping experience, with a demonstrated ability to handle both financial and administrative duties.
- Strong proficiency in QuickBooks Online and Microsoft Office, with an emphasis on financial reporting and data management.
- Ability to learn and work in proprietary back office website
- Excellent customer service and communication skills, with a strong focus on creating positive experiences for members and partners.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Ability to work independently as well as collaboratively within a small, tight-knit team.
- Flexible and willing to work occasional weekends and travel for events.
- Non-profit sector experience is a preferred, but not required.
