Position Summary:

Your Impact (Essential Duties) 

  • Oversee the day-to-day administrative operations of the office, ensuring efficient workflows and a high standard of service for partners, staff, and clients. 
  • Serve as the central coordination point for operational needs, proactively identifying issues and implementing solutions that support productivity and client service. 
  • Maintain visibility into office priorities and operational demands, ensuring administrative resources are aligned to support business needs. 
  • Provide leadership, guidance, and support to administrative team members, including Administrative Assistants and Senior Administrators. 
  • Coordinate workload distribution, establish best practices, and ensure consistent administrative support across the office. 
  • Support onboarding and training of new administrative staff while fostering a collaborative and supportive team culture. 
  • Identify opportunities to improve administrative processes, office workflows, and systems to enhance efficiency and consistency. 
  • Implement and maintain standardized practices related to scheduling, document management, meeting coordination, and office operations. 
  • Partner with firm leadership to implement operational changes or new initiatives affecting the office. 
  • Partner closely with the Office Partner-in-Charge and local leadership team to support office initiatives, meetings, and operational priorities. 
  • Coordinate logistics for partner meetings, internal communications, and office-wide initiatives. 
  • Provide insight and recommendations to leadership regarding operational improvements and administrative resource needs. 
  • Oversee office vendors, supplies, equipment, and facilities coordination to ensure a professional and well-functioning work environment. 
  • Manage vendor relationships and service contracts as needed to support office operations. 
  • Support a positive and welcoming office culture by coordinating internal events, team activities, and communication initiatives. 
  • Ensure a positive client and visitor experience within the office environment. 
  • Demonstrate flexibility and initiative in addressing operational needs and supporting firm priorities as assigned by leadership. 
  • Perform other duties and display flexibility to take on a variety of responsibilities assigned by firm leadership   

Your Background 

  • Prior experience in office administration, operations, or office management, ideally within a professional services or accounting environment. 
  • Demonstrated leadership experience guiding or coordinating administrative team members. 
  • Strong organizational and operational problem-solving skills. 
  • Ability to manage multiple priorities while maintaining attention to detail and service quality. 
  • Excellent communication and interpersonal skills with the ability to work effectively with partners, staff, and clients. 
  • Proficiency with Microsoft Office Suite and comfort learning new systems. 
  • Ability to identify operational challenges and implement practical solutions that improve efficiency
