Foresite is looking for a dependable, detail-driven Office Manager to own the day-to-day operations of our onsite office. In this role, you'll be the person who keeps the physical workplace running smoothly — from branded merchandise and vendor coordination to hospitality for visiting customers, partners, and leadership.
This role is designed for someone who thrives on logistics and details, brings a polished, professional presence, and is just as comfortable coordinating a customer visit as they are packing a box of company merchandise for shipment.
You'll partner closely with sales, marketing, and leadership to make sure the office — and everyone who walks through it is well taken care of. You'll be measured on reliability, follow-through, and the quality of experience you create for employees, customers, and partners onsite.
What You'll Do
Company Merchandise & Inventory Management
Manage branded merchandise end to end: inventory tracking, ordering, fulfillment, and storage.
Ensure the right materials are in the right place at the right time — for events, office visits, and team needs.
Maintain accurate stock levels and reorder proactively to avoid shortages.
Office Operations
Own day-to-day operations of the physical office, including front desk coverage and general upkeep.
Coordinate catering and meal orders for meetings, team events, and daily office needs.
Manage signage and space needs, ensuring the office reflects Foresite's brand and stays organized and presentable.
Onsite Logistics & Hospitality
Coordinate the details when teams, customers, or partners are onsite: space setup, hospitality, and overall visitor experience.
Anticipate needs before they arise and make sure every visitor feels welcomed and taken care of.
Partner with sales and leadership to prepare for customer briefings, executive visits, and team gatherings.
Vendor Coordination
Work with printers, promotional suppliers, venues, and shippers to keep orders on time and on budget.
Negotiate pricing and manage relationships with vendors to ensure quality and reliability.
Track invoices and spend against budget for office and event-related purchases.
Who You Are
Experienced Coordinator: You have 3+ years of experience in office management, administrative support, hospitality, or event coordination.
Organized Under Pressure: You can juggle multiple events and moving parts at once without letting anything slip.
Hands-On: You're comfortable with the physical, unglamorous side of the job — packing, shipping, and setup — as much as the coordination side.
Clear Communicator: You keep vendors, colleagues, and leadership informed and coordinated without being asked twice.
Tech Comfortable: You're proficient with standard office and productivity tools (Google Workspace/Microsoft Office) and pick up new systems quickly.
Nice to Have
Experience supporting sales or marketing teams in a B2B or technology company.
Familiarity with CRM or event management platforms (HubSpot, Salesforce, Cvent, or similar).
Experience managing vendor budgets or purchase orders.
