Position Overview:
We are seeking an experienced Office Manager to serve as the primary owner of office operations and internal office services at CCI. This role is responsible for coordinating and executing all aspects of daily office operations, ensuring a professional, efficient, and well-supported work environment across the firm. Theidealcandidate will have 3–5years ofoffice management experience demonstrating strong organizational, communication, and technical skills.
KeyResponsibilities:
Office Operations & Facilities
- Oversee daily office operations to ensure overall office readiness, organization, and functionality
- Manage kitchen, snack bar, and production room operations, including ordering, stocking, and upkeep
- Coordinate building maintenance requests and vendor services; track issues through resolution
- Manage space planning and office logistics, including desk assignments, office moves, and workspace setup
Front Desk, Communication & Office Coordination
- Own all aspects of phone coverage, including answering, transferring calls, and message coordination
- Maintain standards for front-facing communication and responsiveness across the office
- Coordinate internal office support items such as staff notifications and general administrative communication
Mail, Shipping & Logistics
- Manage all incoming and outgoing mail and package operations, including intake, logging, sorting, and distribution
- Coordinate courier services and overnight shipping, including preparation of shipping labels and documentation
- Ensure timely and accurate delivery tracking and follow-up
Supplies, Inventory & Budget Oversight
- Manage ordering and inventory of office supplies, kitchen items, and general office materials
- Maintain consistent stock levels across the office
- Track and manage budgets related to office supplies, kitchen operations, and office services
Vendor & Office Technology Coordination
- Manage relationships with office vendors, including supply vendors, equipment providers, and service contractors
- Coordinate non-IT office technology, including shared equipment, printers, and conference room resources
- Maintain equipment inventory and ensure functionality of shared office resources
New Hire Office Readiness
- Coordinate office setup for new hires, including workspace readiness and supply provisioning
- Partner with internal teams to ensure seamless onboarding experience from an office operations perspective
Administrative & Operational Support
- Process expense reports for internal departments such as talent & development and business development
- Coordinate food and logistics for internal meetings, training sessions, and office events
- Support general office initiatives that contribute to a positive and professional work environment
Qualifications:
- 3–5yearsofoffice managementexperience.
- Strongcomputerskills,includingproficiencyinMicrosoftOutlook,Word,Excel,and Bluebeam.
