About Us

BNF Distribution Enterprise, Inc. is a growing family-owned food distribution company serving supermarkets, restaurants, and distributors throughout Northern California. We are looking for a highly organized, proactive, and dependable Office Manager who will serve as the owner's right-hand person and help ensure the smooth operation of the entire company.

This is not a traditional office manager role. We are looking for someone who can think ahead, solve problems, coordinate multiple departments, and help drive accountability throughout the organization.

Position Summary

The Office Manager will act as a central point of communication between ownership, office staff, warehouse operations, sales, drivers, vendors, and customers. This individual will oversee daily office operations, assist with administrative and operational projects, manage walk-in customers, and help coordinate activities across multiple departments.

The ideal candidate is highly organized, detail-oriented, professional, and capable of handling confidential information while managing multiple priorities in a fast-paced environment.

Key Responsibilities

Executive Support

  • Serve as the primary administrative support for the company owner.
  • Manage priorities, schedules, and special projects.
  • Follow up on action items and ensure tasks are completed on time.
  • Prepare reports, presentations, and company communications.
  • Handle confidential business information with discretion.

Office Management

  • Oversee day-to-day office operations.
  • Ensure office procedures are followed consistently.
  • Maintain organized records and filing systems.
  • Manage office supplies and vendor relationships.
  • Coordinate company meetings and events.

Customer Service

  • Greet and assist walk-in customers.
  • Handle incoming calls, emails, and customer inquiries.
  • Resolve customer concerns professionally and efficiently.
  • Coordinate customer requests with the appropriate departments.

Department Coordination

  • Act as a liaison between sales, warehouse, delivery, accounting, and management teams.
  • Ensure communication flows efficiently between departments.
  • Monitor operational issues and help facilitate resolutions.
  • Track projects and deadlines across departments.
  • Assist managers in implementing company initiatives and procedures.

Qualifications

Required

  • Bilingual: Spanish and English
  • 2+ years of office management, operations, executive assistant, or administrative leadership experience.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High attention to detail and follow-through.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to work independently and make sound decisions.
  • Professional demeanor and strong customer service skills.

Preferred

  • Experience in distribution, logistics, wholesale, food service, or warehouse operations.
  • Experience with QuickBooks, inventory systems, or ERP software.
  • Bilingual English/Spanish.
  • Experience managing projects and coordinating multiple teams.

What Success Looks Like

After 90 days, this person will:

  • Be the primary point of coordination for office operations.
  • Successfully manage walk-in customers and administrative workflows.
  • Keep communication organized between departments.
  • Help ownership stay focused on strategic priorities.
  • Identify and implement improvements that increase efficiency and accountability.
