    Veterinary Office Manager (On-Site – Austin, TX)


    An established veterinary practice in Central Austin is seeking an experienced and highly organized Office Manager to join our growing team. We are a full-service animal hospital dedicated to providing exceptional care and service to pets and their owners throughout the Austin community.


    This is an excellent opportunity for a proactive professional who enjoys a fast-paced environment, thrives on organization, and has a passion for customer service and animal care. The ideal candidate is a strong communicator, capable multitasker, and hands-on team player who can help support the daily operations of a busy veterinary practice.


    Key Responsibilities

    Office & Administrative Operations

    • Oversee daily office operations to ensure efficiency and exceptional client service
    • Greet clients, answer high-volume phone calls, and provide a welcoming customer experience
    • Coordinate appointments, meetings, and staff schedules
    • Maintain organized office records, files, and documentation

    Team Support & Coordination

    • Supervise, train, mentor, and support administrative office staff
    • Delegate tasks and monitor workflow to maximize team productivity
    • Assist leadership with special projects and operational initiatives
    • Provide administrative support to Practice Management as needed

    Accounting & Office Management

    • Process accounts payable and prepare bank deposits
    • Maintain office supply inventory and coordinate purchasing of supplies and equipment
    • Assist with facilities coordination, vendor communication, and office maintenance
    • Coordinate company meetings, staff events, and internal activities

    Marketing & Client Engagement

    • Support and help coordinate social media and community engagement efforts
    • Assist with initiatives that enhance client communication and overall customer experience

    Qualifications

    • 5+ years of experience in an office management, administrative, or operations role
    • Previous experience in a veterinary clinic, medical office, healthcare, or professional services environment preferred
    • Proficiency in QuickBooks, Microsoft Excel, Word, and Outlook
    • Strong organizational and multitasking skills with excellent attention to detail
    • Ability to prioritize responsibilities and work independently in a fast-paced environment
    • Excellent communication, customer service, and interpersonal skills
    • Positive attitude with a team-oriented and service-focused mindset
    • Passion for animals and commitment to providing outstanding client support
