Office Manager

 Connectbase is a B2B SaaS go-to-market platform for the connectivity industry. Connectbase is seeking a highly organized, resourceful, and service-oriented Office Manager. This role combines day-to-day workplace operations with trusted executive support as needed. The successful candidate will keep the office running smoothly.

Work arrangement and onsite requirement

Connectbase operates largely as a remote organization; however, this position is based in Westborough, Massachusetts, and its physical responsibilities require the employee to be in the Westborough office every business day for at least one to two hours. Additional onsite time may be required based on office operations, executive needs, meetings, events, deliveries, or other business priorities. The remainder of the schedule may generally be performed remotely, subject to business needs and manager approval.

Responsibilities

Office management

  • Manage incoming and outgoing mail, packages, couriers, shipping, document handling, and other time-sensitive office tasks.
  • Coordinate building access, visitors, conference rooms, facilities requests, repairs, maintenance, and communications with property management.
  • Support employee onboarding and offboarding logistics, equipment coordination, access needs, and return shipments in partnership with HR and IT.
  • Maintain office records, vendor contacts, recurring schedules, and basic workplace procedures.

 

 

 

Support to the CEO as Needed

  • Manage a complex and changing executive calendar, including scheduling, prioritizing requests, resolving conflicts, and protecting time for critical work.
  • Coordinate travel, including transportation, lodging, itineraries, schedule changes, and related expense documentation.
  • Track commitments, decisions, and action items and follow up with internal and external stakeholders as appropriate or requested.
  • Handle sensitive business and personnel information with sound judgment, professionalism, and strict confidentiality.
  • Support executive communications and special projects as assigned.

 

Meetings and company events

  • Coordinate company All Hands meetings, including scheduling, agendas, presentation collection, speaker preparation, technology checks, invitations, reminders, and day-of logistics.
  • Organize leadership meetings, onsite gatherings, employee events, customer or partner visits, and other company functions.
  • Arrange catering, room setup, audiovisual support, materials, travel, and other event requirements as requested.
  • Document and distribute meeting materials and follow-up actions when requested.

Qualifications

  • Prior experience managing office operations, preferably in a fast-paced or growing organization.
  • Excellent organizational, calendar-management, communication, and problem-solving skills.
  • Ability to manage competing priorities, anticipate needs, exercise sound judgment, and follow through with limited supervision.
  • High level of discretion and demonstrated ability to handle confidential information appropriately.
  • Strong proficiency with Microsoft 365 or comparable productivity, calendar, presentation, and collaboration tools.
  • Professional, dependable, responsive, and comfortable working with employees and external partners at all levels.
  • Ability to work onsite every business day for at least one to two hours and for additional time when business needs require.
