We are seeking a highly organized Office Production Coordinator to provide logistical support across multiple shows. Working closely with the Production Management team, you will serve as a central hub for various field operations, following projects through the entire show lifecycle from pre-production through post-production. This fast-paced role requires an experienced multitasker capable of balancing the unique demands of several productions simultaneously.
Cross-Departmental Coordination: Serve as the primary communication hub between field teams and internal departments (Post, Tech, Legal, Finance) to ensure information flows seamlessly across the company.
Field Support & Logistics: Partner with the Production Management team to provide support to the field; create and distribute accurate call sheets and manage schedules across various shows.
Travel & Housing: Execute end-to-end travel logistics for crew and talent, including booking flights, hotels, corporate housing, and vehicle rentals.
Permitting & Compliance: Research and secure film permits, location agreements, and certificates of insurance (COIs).
Team Leadership: Directly oversee and delegate tasks to the Office Production Assistant to ensure office and show efficiency.
Financial Operations: Manage and reconcile production credit cards, process employee reimbursements, and submit vendor invoices for payment.
Production Tracking: Maintain and update rigorous trackers related to travel, costs, field finances, and sustainability throughout production.
Organization: Exceptional organizational skills with a disciplined approach to managing high-volume data and overlapping production timelines.
Experience: 2+ years of professional experience as a Production Coordinator in an office or studio environment.
Software Mastery: Expert-level proficiency in Google Workspace (Drive, Sheets, Docs, Meet) and Microsoft Excel for complex data tracking.
Document Production: High proficiency in drafting essential production documents (Call Sheets, PRs, and Schedules).
Communication: Superior email etiquette and the ability to maintain a professional, collaborative tone across multiple show teams.
Pressure Management: A proven "problem-solver" who can prioritize urgent tasks across different projects under tight deadlines.
COMPENSATION & BENEFITS:
The pay range for this role is $23.15 to $26.31 per hour.The base pay offered may vary depending on multiple individualized factors, which may include office location, education, skills, and experience.
