We’re seeking a detail-oriented Office Services Associate with a strong client-first mindset to support daily mail and print operations within a fast-paced legal environment. This role is ideal for someone who thrives on precision, enjoys hands-on production work, and takes pride in delivering high-quality results under tight deadlines.

Pay rate: $24 -25.46p/h

Shift: 8:30am to 5:30pm

Key Responsibilities

Print & Production Services

  • Manage high-volume print and reprographics requests, including copying, scanning, binding, and finishing
  • Produce professional materials using various binding methods (GBC, coil, spiral, velo, 3-ring, etc.)
  • Prepare proofs and collaborate with clients to ensure accuracy and quality
  • Execute complex print jobs, including mail merges and multi-file projects
  • Troubleshoot printer and copier issues to minimize downtime

Mail & Distribution Services

  • Process incoming and outgoing mail, including USPS, FedEx, UPS, and courier deliveries
  • Log, track, and distribute packages using internal tracking systems
  • Coordinate daily mail pickups and deliveries across the office
  • Prepare and manage outgoing shipments and trackable packages

Client Service & Coordination

  • Provide responsive, high-quality service to internal teams and stakeholders
  • Communicate effectively across departments to manage requests and deadlines
  • Consult with clients on print projects, offering solutions and recommendations
  • Manage multiple requests simultaneously while maintaining accuracy and timelines

Operational Support

  • Organize and prioritize workflow using job tickets and production schedules
  • Maintain inventory of supplies and ensure print and mail areas are fully stocked
  • Support conference services and additional office services as needed
  • Work collaboratively within a team environment to meet daily operational goals

Qualifications

  • Experience in print production, reprographics, or mail services (legal environment preferred)
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and Adobe tools
  • Experience with document management systems such as NetDocs is a plus
  • Familiarity with print equipment and finishing techniques (binding, lamination, etc.)
  • Experience with package tracking systems (e.g., PS Track) preferred
  • Strong attention to detail and ability to produce high-quality work under pressure
  • Ability to follow established processes while also problem-solving when needed
  • Comfortable working in a fast-paced, deadline-driven environment
  • Strong communication skills and a team-oriented mindset
