Office Services Associate – Meeting & Event Support
The Office Services Associate – Meeting & Event Support plays a key role in ensuring conference rooms, training spaces, and meeting areas are prepared and maintained to the highest standards. This position supports daily meeting operations by providing room setup, hospitality, Audio Visual (AV) assistance, and exceptional customer service.
Set up conference rooms and training spaces according to meeting requests, floor plans, and client specifications.
Arrange furniture, meeting materials, and equipment to ensure rooms are fully prepared prior to each event.
Provide basic Audio Visual (AV) support, including setting up equipment, troubleshooting common issues, and ensuring technology is functioning properly.
Tape down cables and maintain safe, organized, and professional meeting environments.
Move airwalls and adjust room configurations to accommodate varying event sizes and layouts.
Verify room readiness by checking lighting, temperature, supplies, and overall presentation before meetings begin.
Reset meeting rooms following events by removing materials, returning equipment, and preparing spaces for the next reservation.
Conduct regular floor walkthroughs to ensure meeting spaces remain clean, organized, and guest-ready throughout the day.
Support Floor Hosts by responding to real-time meeting requests and providing coverage across multiple floors as needed.
Deliver exceptional customer service by assisting employees, clients, and visitors with meeting-related inquiries and requests.
Monitor meeting room utilization and communicate scheduling updates or issues to the appropriate teams.
Document customer interactions and service requests while proactively identifying opportunities to improve the meeting experience.
Maintain professionalism, flexibility, and a client-first mindset while managing multiple priorities in a fast-paced environment.
2–3 years of experience in hospitality, conference services, office services, event support, hotel operations, or a related customer service environment preferred.
Experience with meeting room setup, event support, or conference services is highly preferred.
Basic knowledge of Audio Visual (AV) equipment and troubleshooting.
Proficiency with Microsoft Office Suite and the ability to learn workplace technology platforms.
Strong organizational, communication, and interpersonal skills.
Ability to stand, walk, and lift meeting materials or equipment throughout the workday.
Detail-oriented with the ability to prioritize multiple tasks while maintaining a high level of customer service.
The compensation for this position is up to $21.00 per hour and may be eligible for an annual bonus. Actual compensation will be based on the candidate's location, skills, experience, and qualifications.
