The Office Services Clerk provides essential administrative and operational support to the Department of Public Safety, ensuring efficient day-to-day office operations and high-quality service delivery. This position works closely with department staff and leadership to support administrative processes, coordinate office services, and address operational needs. The Office Services Clerk is responsible for maintaining accurate records, processing documents, managing office resources, and assisting with departmental communications and customer service activities.

The incumbent supports the department's mission by ensuring adherence to established policies, procedures, and public safety requirements while contributing to a professional, organized, and responsive work environment. This role assists with visitor management, events, supply management, and operational initiatives as needed, while providing reliable support to internal and external customers. The Office Services Clerk demonstrates a commitment to collaboration, accountability, continuous improvement, and exceptional customer service in support of departmental goals and priorities.

The CSO is responsible for overseeing the University's Department of Public Safety, which includes the following operational divisions: University Police, Campus Security, Health Security, Emergency Management, Emergency Communications, and the central administrative Office of the CSO.

Responsibilities

  • Ensure consistent, high-quality office support is provided at the Department of Public Safety.
  • Oversee visitor management, event set-up and take-down, and office supplies.
  • Identify operational issues and input corresponding maintenance and/or request tickets. Monitor through completion as necessary.
  • Partner with department leadership on projects, initiatives, and goals. Maximize operational effectiveness and service delivery.
  • Address customer concerns and service-related challenges in a timely and professional manner.
  • Promote exceptional customer service for internal and external stakeholders. Develop and maintain effective working relationships.
  • Support department day-to-day operations, including: mail and deliveries, ordering, building requests, and daily operational needs.
  • Perform other related duties and special projects as assigned.

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Office Services Clerk, I: Requires little to no related experience.

Office Services Clerk, II: Requires at least 1 year of related experience.

Office Services Clerk, III: Requires 3+ years of related experience.

Office Services Clerk, IV: Requires 5+ years of related experience.
