Job Title: Office Services Specialist
Location: Saint Paul, MN (onsite)
Duration: 11+ Months Contract
M-F (8:00 AM - 4:30 PM)
Provide on-site office services including high-volume copying, printing, scanning, document imaging, mail management, shipping/receiving, document finishing, filing, and related customer support.
Operate high-volume duplicating, imaging, printing, mail management, and document handling equipment and software.
Support customer requests while maintaining quality, accuracy, inventory, equipment, and service records.
Report directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site configuration.
May support bindery, quality control/final checks, housekeeping, file services, call center, reception, meeting room setup, building support, and light maintenance functions.
Responsibilities
Operate high-volume copy machines, printers, document imaging systems, and related document image handling software.
Operate MS Office, Outlook, Excel, Word, Teams, email, document management systems, fax machines, calculators, postage meters, and other office equipment.
Open, save, retrieve, and transfer PC files according to established protocols.
Access document management systems according to established procedures.
Operate Trac and other systems used for printing and document processing.
Inspect convenience copiers daily for proper operation and quality; clear paper jams and report equipment problems to technicians.
Respond to and coordinate customer service calls.
Maintain daily meter and service logs, management reports, billing logs, and supply inventory records.
Calculate charges for completed jobs as required.
Monitor and maintain adequate supplies and keep copier/work areas clean, neat, and well stocked.
Handle incoming and outgoing mail, fax transmissions, USPS shipments, shipping and receiving, postage, and material distribution.
Distribute office supplies, mail, fax transmissions, and materials to personnel or designated drop-off locations.
Deliver completed jobs to predetermined customer locations within and outside the assigned site.
Answer customer questions regarding job status, requirements, and feasibility.
Communicate with customers and team members by email and phone regarding daily operations and customer requests.
Perform filing duties, including purging and archiving old documents, based on customer requirements.
Maintain records and reports related to operations, supplies, equipment, and completed work.
Use shrink-wrap machines, paper cutters, hole drills/punches, bindery equipment, joggers, tape machines, stackers, electric staplers, and scales.
Perform meeting room and conference room setup as required.
Perform building occupant moves within assigned facilities.
Perform re-lamping and light maintenance duties when assigned.
Perform occasional cleaning and housekeeping duties as needed.
May travel between customer buildings to perform assigned duties.
May perform reception, call center, file services, or other customer-facing support functions as required.
May perform higher-level reception duties requiring strong presentation and telephone skills.
May require periodic overtime on nights and weekends, including off-hour emergency response.
Perform other duties as assigned.
Requirements
High school diploma/GED and 1 2 years of related experience, or equivalent experience in a related field.
Related copy/print experience preferred.
Experience with both printing and mail operations; printing experience is particularly important.
Experience with basic shipping and receiving.
Experience with basic printing, scanning, assembling, cutting, punching, and binding.
Basic knowledge of MS Office, Outlook, Excel, Word, Teams, email, and office systems.
Strong customer service and communication skills with the ability to communicate effectively with customers and team members.
Good PC, organizational, mathematical, filing, and prioritization skills.
Ability to use office machines, technical equipment, and document processing equipment.
Strong attention to detail and ability to learn quickly.
Ability to interpret, comprehend, and apply complex material, data, and instructions.
Ability to prepare, provide, and communicate varied information.
Ability to work in an office environment with normal lighting, ventilation, temperature, and noise levels.
Ability to stand, walk, bend, reach, stretch, climb, and perform similar physical activities for extended periods.
Ability to lift or move items weighing up to 50 55 lbs.
Ability to push or pull equipment on wheels that may weigh up to approximately 700 lbs. when moving equipment for repairs.
Walking between buildings may be required.
Moderate dexterity with regular use of a calculator, keyboard, hand tools, and eye/hand coordination.
May require a valid driver's license and minimum auto insurance coverage depending on assignment; driving is not required for this position.
