About the Role:

As a CBRE Office Services Supervisor at Global Headquarters, you will be responsible for the operational infrastructure that keeps GHQ running - vendors, systems, logistics, and the day-to-day mechanics that enable everything else to perform. This role owns the behind-the-scenes execution: space coordination, vendor accountability, inventory management, and operational cost tracking. Where the experience layer shapes how the space feels, this role ensures the space functions.

This job operates within CBRE's Office Operations function at Global Headquarters in Dallas. The environment is high-visibility and fast-moving; operational gaps are rarely invisible here, and the standard is set by the people who occupy the building.

What You'll Do:

  • Manage the operational onboarding process for new employees: badge access provisioning, seat and locker assignment, parking registration, and new hire systems setup in coordination with IT and HR
  • Maintain accurate seating charts and floorplans, updating records in space management systems as assignments, moves, or team changes occur
  • Manage hot desk and flex seating inventory; processes and tracks occupancy to inform space planning decisions
  • Partner with leadership on space requests and move/add/change (MAC) coordination
  • Own and maintain the GHQ operational playbook - documented SOPs, vendor contact sheets, escalation protocols, and run sheets for recurring operational activities
  • Ensure procedures are current, accessible, and followed consistently; updates the playbook as the operation evolves
  • Serve as the day-to-day liaison with building management on facilities matters: HVAC, lighting, life safety systems, and preventive maintenance scheduling
  • Manage vendor badging and certificate of insurance (COI) tracking for all contractors and service partners entering the building
  • Oversee work order management - logging, assigning, tracking, and closing out requests in the facilities management system
  • Coordinate access control: employee and visitor badge provisioning, deactivation, and audit
  • Manage signage, wayfinding, and physical space standards in coordination with building management
  • Support sustainability and waste management programs per building and CBRE standards

A Typical Day May Look Like:

The day starts with a scan of overnight facilities notes and any open vendor or maintenance tickets. By mid-morning you're triaging: a supply delivery needs to be received and logged, a room assignment has shifted for an afternoon meeting, and a service contract is due for renewal. You spend time in vendor coordination - reviewing invoices, following up on a maintenance request, confirming a schedule change with a cleaning partner. After lunch you're in the budget tracker reconciling last week's operational spend and flagging a line item trending over. The afternoon is administrative and systems-focused: updating room booking records, processing space requests, and closing out a shipping issue.

  • Space and room coordination runs without confusion - requests are handled, conflicts are resolved, and the right people are in the right places.
  • The operational foundation is strong enough that the experience layer can do its job without worrying about what's underneath it.

  • Your background is primarily hospitality or people-facing experience without operational or systems-based accountability - this role is fundamentally about what runs, not what feels.
  • You're more comfortable executing tasks than managing complexity - this role requires you to hold multiple workstreams simultaneously and make judgment calls when they conflict.
  • You're uncomfortable with vendor accountability or direct conversations when service falls short.
  • You prefer a clearly defined task list over a dynamic operational environment - priorities shift, and the ability to reprioritize without losing ground is essential.
  • You need a lot of structure from above - expectations are clear; how you meet them is largely yours to figure out.

What You'll Need:

  • High school diploma or GED; 5+ years of experience in workplace experience, hospitality, or customer service operations.
  • Experience developing or maintaining operational SOPs or playbooks.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Background in new employee onboarding coordination, specifically the systems and logistics side.
  • Demonstrated ability to manage vendors, track costs, and maintain operational documentation.
  • Experience managing seating plans, MAC requests, or space planning in a corporate environment.
  • Experience with space management or facilities management systems (e.g., FAMIS, FM:Systems, SpaceIQ, or similar).
  • Experience in a corporate, hotel, or premium hospitality environment.
  • Exposure to C-suite, VIP, or executive-level clientele.
  • Vendor management or contract administration experience.
  • Familiarity with service delivery databases or workplace technology platforms.
