BRIEF JOB DESCRIPTION: The Executive Assistant provides complex administrative support to the Department of Energy Resources (DOER) and provides administrative support for the operations of the overall office. The DOER is the designated state energy office with statutory responsibilities for energy resources, planning, programs and development. The DOER seeks to advance affordable, reliable and cleaner energy for the benefit of all Maine people and businesses.

The position requires independent judgement, initiative and decision making in complex administrative matters. The ability to interpret and implement the policies and decisions of superiors as well as formulate recommendations for improvement in office processes, practices and policies. Competency to be flexible and adjust to dynamic administrative needs while balancing multiple tasks and priorities.

Responsibilities include the coordination of the Commissioner's schedule, travel, procurement card, receiving and appropriately directing communications through the DOER office. Administrative support to the DOER office includes but is not limited to: Freedom of Access requests, records management, coordination of supplies and office equipment, entering and maintaining information in databases and supporting the procurement process from RFP to invoice payment.

The successful candidate should have extensive experience in the use of computers and various computer applications.

MINIMUM QUALIFICATIONS: Training, education, or experience in administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks at the statewide level that are broad in scope or functionally diverse, and 2) the ability to use independent judgment, initiative, and decision making on complex administrative matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I, Office Associate II and Office Specialist I.
