GENERAL DESCRIPTION:

We are currently seeking a highly motivated, organized, and professional individual to join our team as an Office Support Specialist. As part of the Wyoming Department of Corrections, you will play a vital role in supporting public safety through the safe, secure, and humane management of offenders, while helping provide opportunities for successful reintegration into society.

This position serves as the administrative assistant to the facility's executive team and reports directly to the Associate Warden. The ideal candidate will be self-directed, proactive, and detail-oriented, with the ability to manage multiple priorities effectively. Responsibilities include preparing reports, utilizing a variety of software programs, and handling confidential and sensitive information on a daily basis.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

  • Performs executive-level administrative and support duties.

  • Handles and protects confidential information that requires executive approval for the release of information.

  • Manages the day-to-day operations of assigned programs, projects, or functions between a variety of sources and the office maintenance and inventory; may provide oversight of a regional office.

  • Acts as a resource to provide information or interpretation of agency-specific rules/regulations to staff, the public, or other government entities, and/or to determine the most effective way of meeting the needs of management, staff, clients, or customers.

  • Possible roles in this position are assistant to the facility executive team.

  • Plans, coordinates, and facilitates meetings.

  • Reviews files, records, etc., and provides documentation to the executive team.

  • Resolves some light computer/network problems.

  • Organizes, records, and archives significant security, programming, and operational data.

  • Request and receive bid quotes, research, and resolve issues with vendors.

  • Maintains database information for things such as licensing boards, grants, contracts, MOUs, and required reports.

  • Creates and edits reports & documents for management.

  • Manages schedules and timelines for managers.

  • Management and oversight of all office equipment and supplies.

  • Responsible for processing, maintenance, and quality control of records and documents.

  • Performs program and/or fiscal duties, specifically involved in preparing purchase orders.

  • Compiles vital information.

  • Coordinates program functions between a variety of sources.

  • Assists the security intelligence team by gathering and compiling information from various avenues including monitoring reports, inmate phone calls, and emails, and providing findings to the executive team.

  • Tracks and provides an applicable response to inmate grievances.

  • Documenting MDT and meeting minutes.

  • Overseeing inmate jobs and supervision of inmate janitors.

  • Performs other duties as required.

Qualifications

PREFERENCES:

Preference may be given to applicants with a background in Corrections.

KNOWLEDGE:

  • Knowledge of applicable computer applications.
  • Knowledge of records processing and maintenance procedures and systems.
  • Knowledge in the preparation of complicated documents.
  • Knowledge and understanding of the agency and each respective division/program.
  • Knowledge of investigating alleged non-compliance.
  • Knowledge of project management.

MINIMUM QUALIFICATIONS:

Education:

Associates Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
