Responsibilities:Elwyn seeks an Onboarding Coordinator who supports the pre-hire process from offer acceptance through Day One readiness. This role serves as the primary point of contact for incoming employees, coordinates pre-employment screening and clearance activities, ensures accurate and timely completion of required documentation, and partners with Talent Acquisition (TA), Hiring Managers, Credentialing/Compliance, and Human Resources to deliver a smooth and compliant onboarding experience.
Pre-Hire Clearance Standards: Applies current standards and organizational requirements for clearing candidates for hire, including initiating, tracking, verifying, and documenting required background checks, clearances, licenses/certifications (as applicable), and reference checks. Ensuring results are reviewed, recorded, and routed according to policy and escalation requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Serve as the primary point of contact for new hires from offer acceptance through their first day, providing clear instructions, timelines, and responsive support.
Coordinate and track completion of pre-employment requirements, including background checks, clearances, fingerprinting (as applicable), physicals, drug screens, reference checks, immunizations, and any role-specific screenings.
Initiate, monitor, and document all required verifications (e.g., employment, education, licensure/certification where required) and ensure records are complete, accurate, and audit-ready.
Facilitate new-hire paperwork completion and ensure all required forms are received prior to Day One whenever possible.
Schedule and complete meetings with new hires to sign Section 2 of Form I-9.
Coordinate start-date readiness by confirming pre-boarding completion and resolving outstanding requirements prior to Day One whenever possible.
Schedule or register new hires for new employee orientation (NEO) and required training sessions, and coordinate with internal partners to ensure attendance and successful handoff.
Maintain candidate/new-hire status updates in HR systems (e.g., Applicant Tracking System and/or HRIS) and communicate progress, exceptions, and next steps to Hiring Managers and Talent Acquisition.
Update the New Hire Tracker daily to support real-time inquiries by Hiring Managers and Talent Acquisition for accurate onboarding status.
Identify issues that may delay clearance (e.g., missing documentation, adverse results, expired clearances) and escalate per policy to the appropriate HR/Talent Acquisition/Compliance leader for review and resolution.
Partner with Hiring Managers, Recruiters, HR, and Compliance/Credentialing teams to ensure a consistent, compliant, and positive new-hire experience.
Maintain confidentiality and comply with all applicable regulations and organizational policies related to background screening and the handling of personal information.
Primary work location is the nearest Elwyn corporate office; attend on-site meetings as needed to foster team engagement, with most work completed remotely.
Attend career fairs and hiring events at the nearest Elwyn corporate office and the surrounding area as needed to support pre-hire activities.
