    Onboarding Specialist (LPN or RN)
    Location: Southwoods Health – Boardman, OH
    Position Type: Full-Time, Day Shift (Monday – Friday) | Occasional local travel required

    Job Summary
    As the Onboarding Specialist, you will coordinate the comprehensive onboarding of all new physicians, advanced practice providers, and staff entering the organization. Serving as the central liaison between clinical teams, IT, HR, office leadership, credentialing, and revenue cycle departments, you will ensure a smooth, efficient, and high-quality transition into Southwoods. You will guarantee the total readiness of all workflows, systems, equipment, and staff education. Following initial orientation, you will lead ongoing clinical workflow optimization and standardization across our practices.
     
    Key Responsibilities
    • Project Coordination: Efficiently organize timelines, equipment, and personnel resources to manage a seamless provider transition process.
    • Workflow Assessments: Plan and execute operational assessments for new onboarding setups, system updates, and offices encountering workflow bottlenecks.
    • Launch & Application Support: Coordinate "go-live" support resources, assist with active application support during launches, and track issue resolution logs for post-live follow-up.
    • Optimization Rounding: Conduct regular operational rounding across outpatient, perioperative, and inpatient settings to identify opportunities for care standardization.
    • Staff Development: Identify educational gaps among providers and staff, collaborating closely with training teams to design and implement targeted educational programs.
    • Compliance & Quality: Coordinate with quality teams to guide providers through performance expectations and compliance metrics. Participate in Joint Commission readiness rounding to keep practices aligned with regulatory agencies (OSHA, ODH, BOP, TJC).
    • Milestone Evaluations: Conduct follow-up reviews at 30-, 60-, and 90-day marks to evaluate provider experience, assess workflow success, and coordinate cross-departmental solutions.
    • Licensure Maintenance: Initiate, track, and maintain all terminal distributor (TDDD) and CLIA certificates across Southwoods Physician Services locations.
     
    Requirements & Qualifications
    Required:
    • Licensure: Active Registered Nurse (RN) or Licensed Practical Nurse (LPN) license in the State of Ohio.
    • Certifications: Current BLS certification through the American Heart Association (AHA).
    • Experience: 2–3 years of experience in physician practice operations, office management, healthcare project management, or provider onboarding.
    Technical Skills:
    • Strong familiarity navigating Electronic Medical Records (EMR), schedule templates, clinical workflows, and everyday business computer applications.
    • Core Competencies: Exceptional time management, organizational skills, multi-project execution capabilities, and strong communication skills.
    Preferred:
    • Bachelor's degree in a related healthcare field.
    • Current ACLS certification through the American Heart Association (AHA).
    • A professional, collaborative, and positive approach when navigating challenging operational environments.
