OPC Program Administrator

Department Overview:

The full-time annual base salary range for this position is $63,772.80-$101,899.20.  Commensurate with experience, education & internal equity. 

 

This position provides administrative support for the statewide perinatal substance use disorder (SUD) program within the Oregon Perinatal Collaborative (OPC). This includes coordination of all logistics of a range of outreach, coordination, quality improvement, and advocacy activities to improve care and outcomes for pregnant and postpartum people with substance use disorders in Oregon. This position will also support design and monitoring of evaluation metrics for the program and will provide recommendations for optimizing the program as needed. This is a limited duration position funded by the SUD Rural Health Transformation Program (RHTP) Catalyst grant. This position will serve as a primary point of coordination contact for hospitals, clinics, and treatment programs related to perinatal SUD RHTP Catalyst grant related activities and will also support quality improvement coaching in coordination with the OPC perinatal SUD clinical lead. This position will coordinate between the OPC perinatal SUD program and OPC's other programs and projects. Strong interpersonal skills are necessary for success in this role. This position will also support budget tracking and purchasing of program related materials.

Function/Duties of Position:

• Provide logistic support for scheduling, travel and evaluation of meetings,trainings, conferences.

• • Create and maintain all tools to manage complex scheduling of OPC perinatal SUD program meetings with hospital, clinic, and treatment program leaders.
  • Organize all travel arrangements and process corresponding reimbursement requests in a timely fashion.
  • Create and monitor evaluation tools.

• Provide logistic support for program development, including document

  creation

  • Process expense invoices, reconciliations, and reimbursements

    associated with OPC perinatal SUD program.

  • Support development and refinement of internal and external facing

    documents for OPC perinatal SUD Program.

  • Maintain accurate records, reports and data for the program and

    develop multiple formats to best meet the needs of key audiences.

  • Support OPC Perinatal SUD stakeholder meetings, including

    scheduling, meeting minutes and action item follow up.

• Serve as primary logistic point of contact for hospitals, clinics, and

  treatment programs and provide quality improvement coaching as needed

  for activities supporting the RHTP catalyst grant.

  • Ensure responsive service to all Oregon hospitals, clinics, and

    treatment programs seeking OPC perinatal SUD program support.

  • Provide quality improvement coaching to clinic and treatment

    program teams as needed to support OPC perinatal SUD program

    clinical lead with non-clinical coaching support to teams. This can

    include coaching on key QI tools used by the Institute for

    Healthcare Improvement (PDSA cycles, run charts, etc.) and

    supporting basic data interpretation.

• Support program evaluation, monitor and address budget needs.

  • Monitor key timelines and deliverables and escalate any barriers to

    meeting these to supervisor.

  • Assist with budget tracking and purchasing within established

    budget and limits.

  • Identify opportunities for program improvement, including

    streamlined processes and workflows to improve value and

    efficiency.

  • Support development of program evaluation reports and summaries

    for key funders and stakeholders.

Required Qualifications:

• Bachelors degree and two years leading projects OR Associates degree and three years leading projects OR Equivalent combination of education, training and experience.
• At least 3 years of administrative support experience supporting a team of 10 or more.
• Microsoft office suite proficiency
• Project management
• Complex scheduling

Preferred Qualifications:

• Working with multidisciplinary health care teams.
• Quality improvement Education training or lived experience with Substance Use Disorders Education and/or training in Perinatal Health

Additional Details:

Primarily remote work Monday-Friday, with occasional travel across Oregon to support meetings that may occur on weekends and evenings.
