We're looking for an organized, proactive, and detail-oriented Operations Administrative Coordinator to join our team. This role serves as the central point of communication and coordination within the Operations Department, helping connect tenants, vendors, contractors, and internal teams while supporting the daily operations of a dynamic and fast-paced environment.

What You'll Do
As the Operations Administrative Coordinator, you'll be a key resource for the Operations team, helping ensure information flows efficiently and operational needs are addressed promptly and professionally.
Operations Coordination
- Manage and monitor maintenance work orders through the electronic work order system.
- Receive and respond to tenant service requests and direct inquiries to the appropriate team members.
- Coordinate and schedule vendor and contractor activities.
- Assist in maintaining daily operational schedules and communications.
- Support maintenance and operational teams with administrative coordination and project tracking.
Administrative Support
- Assist Operations Managers with scheduling, correspondence, reporting, and special projects.
- Maintain electronic records, logs, and databases related to vendors, compliance activities, tenant communications, and operational initiatives.
- Support the department's electronic document management and content systems.
- Assist with editing and maintaining department policies, procedures, and operational documentation.
- Manage departmental credit card reconciliation and administrative reporting.
Tenant & Vendor Relations
- Assist with tenant communications, compliance notices, and operational correspondence.
- Maintain vendor records and ensure Certificates of Insurance (COIs) remain current.
- Coordinate tenant mailbox assignments and related requests.
- Support vendor and contractor onboarding and documentation requirements.
Compliance & Reporting
- Track and manage fire inspection violations, including tenant notifications, work order creation, and completion tracking.
- Help maintain OSHA-related records and training documentation.
- Manage training logs for the Maintenance and Repair team.
- Track and report monthly merchant closures and other operational metrics.
- Coordinate quarterly waste and hauling reporting activities.
Technology & Process Support
- Create and maintain spreadsheets, reports, maps, and presentations.
- Assist with operational reporting and data analysis.
- Support process improvements that enhance efficiency and service delivery across the department.
What You Bring
Required Qualifications
- High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Three to five years of administrative, operations, facilities, property management, or related experience.
- Strong proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Strong technical aptitude and ability to learn new software systems quickly.
- Experience working with work order or maintenance management systems is a plus.

Work Environment
This position is primarily based in a professional office environment and regularly utilizes computers, phones, office technology, and electronic management systems. Occasional interaction with operational areas throughout the property may be required.
Physical Requirements
- Frequent use of computers and office equipment.
- Occasional walking throughout the property.
- Ability to lift up to 25 pounds occasionally.
- Ability to perform the physical requirements necessary to support operational activities and office functions.
