Role Overview
The Operations & Quality Coordinator is responsible for ensuring the accuracy, execution, and compliance of all operational and quality processes across the business. This role owns the day-to-day coordination of orders, systems, vendors, and quality standards to ensure products are delivered correctly, on time, and in full compliance. This position requires a high level of accountability, attention to detail, and ownership. The ideal candidate proactively identifies issues, takes initiative to resolve them, and ensures nothing falls through the cracks.
Key Responsibilities
Order & Operations
- Own end-to-end order processing across all systems (QuickBooks, EDI, retailer portals, internal tools)
- Ensure all orders, POs, and shipments are accurate, complete, and on time
- Identify and resolve discrepancies before fulfillment
- Monitor order flow and proactively address delays, errors, or gaps
Systems & Data Accuracy
- Maintain accurate and up-to-date data across all platforms (Data Ninja, QuickBooks, retailer portals, etc.)
- Ensure alignment between systems (orders, inventory, financial records)
- Troubleshoot and resolve system or data inconsistencies
Quality & Compliance
- Inspect and approve raw materials, in-process goods, and finished products
- Review and approve batch records and Certificates of Analysis (COAs)
- Maintain quality documentation and ensure audit readiness
- Support SOP development and adherence
Vendor & Supplier Coordination
- Communicate with suppliers to obtain required documentation and ensure compliance
- Support supplier qualification and ongoing performance
- Resolve issues related to materials, documentation, or delivery
Issue Resolution & Accountability
- Investigate errors (missed orders, incorrect shipments, data issues, etc.)
- Identify root causes and implement corrective actions
- Take ownership of issues through full resolution—not escalation without follow-through
Cross-Functional Support
- Partner with Operations, Quality, and Leadership to support business execution
- Assist with recalls, audits, and regulatory requirements as needed
- Support inventory, supply ordering, and general operational coordination

Orders are accurate, processed on time, and fully executed
Systems and data are clean, aligned, and reliable
Issues are identified early and resolved quickly
Strong ownership mentality—nothing gets dropped or ignored
Qualifications
2–4 years in operations, supply chain, or quality coordination
Strong attention to detail and organizational skills
Experience with order processing systems, EDI, or ERP tools preferred
Ability to manage multiple priorities and follow through independently
Clear communicator with a problem-solving mindset
