Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 2+ years of administrative, operations, project coordination, or office management experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Self-motivated with the ability to work independently and collaboratively.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with QuickBooks, CRM software, or project management software is a plus.

Skills

  • Customer service experience in a luxury home, construction, design, or home improvement industry.
  • Experience coordinating installation schedules and vendor communications.
  • Comfortable learning new software and business systems.
  • Strong problem-solving and time management skills.
     
RESPONSIBILITIES
  • Provide administrative support to the Operations Manager and leadership team.
  • Answer incoming phone calls, emails, and customer inquiries professionally.
  • Schedule client consultations, site visits, product measurements, deliveries, and installation appointments.
  • Coordinate with vendors, suppliers, installers, designers, and project partners to ensure projects stay on schedule.
  • Process customer orders, purchase orders, invoices, and other operational documents.
  • Maintain accurate customer records, project files, and internal databases.
  • Track order status and communicate updates with customers and team members.
  • Assist with inventory management and office supply ordering.
  • Prepare reports, spreadsheets, and operational documents using Microsoft Office.
  • Support project coordination from initial order through final installation.
  • Assist with bookkeeping support, document organization, and filing.
  • Identify opportunities to improve office processes and operational efficiency.
  • Perform other administrative and operational duties as assigned.
