Job Title: Operations Associate III Job Location: Remote, IL 60614 Job Duration: 12+ Months (Possibility of extension) Pay Rate: $43.83/hr. on W2 Employment Type: Full Time. Job Description: The Business Operations Associate delivers end-to-end execution support across Research Business Operations, with primary responsibility for contracts administration, purchasing activities, and operational systems support. The role enables efficient and compliant processes by coordinating contract lifecycle activities, managing purchase orders and invoices, and monitoring the health of business operations systems. This position partners closely with Research scientists and senior Business Operations leadership and operates under established policies and guidance, ensuring accuracy, timeliness, and visibility across core operational workflows. Principal Responsibilities: Contracts & Contract Lifecycle Support: Support the full contract lifecycle from contract intake through execution, including submission, SOW drafting, tracking, and documentation management. Coordinate and submit contract initiation forms and required documentation into contract management systems (e.g., Coupa, Determine, or equivalent). Maintain accurate and up-to-date contract trackers and repositories to ensure stakeholder visibility. Serve as a primary operational contact for internal teams to support communications for contract submission form details and status updates, and facilitate the smooth flow of contract processes. Support continuous improvement of contracting workflows, trackers, and templates. Operational Systems, Data & Reporting: Maintain and update the Business Operations SharePoint site and reference materials. Generate and maintain basic reports and trackers to support operational visibility. Partner closely with senior Business Operations staff to support recurring operational processes. Serve as a primary operational contact for internal teams regarding GBS Help ticket submission, monitoring, and communication. Decision-Making Authority: Independently prepare and submit contract documentation into approved systems. Maintain and update operational trackers, systems, and repositories. Knowledge, Skills & Competencies: Working knowledge of contract administration and vendor management processes. Familiarity with contract management systems and document tracking tools. Strong organizational skills with exceptional attention to detail and follow-through in interpreting nuanced contracting requirements, navigating internal and external teams. Ability to manage multiple priorities in a deadline-driven environment. Strong written and verbal communication skills, proven experience working with Leadership. Problem-solving mindset with the ability to escalate appropriately. Education & Experience Requirements: Bachelor’s degree in Business Administration or related field, or equivalent experience. Typically 5-7 years of experience in business operations, business administration, contracts administration, procurement, or related roles. Experience working with enterprise systems for contracts, procurement, and financial operations preferred.
