Position Overview: The Operations Associate plays a critical role in supporting the day-to-day administrative and operational functions of a fast-paced wealth management team. This individual ensures a seamless client experience by managing account paperwork, processing transactions, and maintaining accurate records. The ideal candidate is detail-oriented, organized, and thrives in a structured, process-driven environment.
Key Responsibilities:
Prepare, review, and submit new account paperwork, ensuring accuracy and completeness
Facilitate account openings across investment and insurance platforms
Process client transactions including transfers, rollovers, distributions, and beneficiary updates
Monitor and track the status of account applications and transfers, following up as needed
Maintain organized and compliant client records and documentation
Coordinate with custodians, internal departments, and external partners to resolve operational issues
Ensure all activities comply with firm policies, regulatory requirements, and industry standards
Assist advisors and team members with administrative and operational tasks
Identify opportunities to improve processes and enhance efficiency
Qualifications:
Bachelor’s degree preferred (Finance, Business, or related field a plus)
1–3 years of experience in financial services, operations, or administrative support preferred
Strong attention to detail and accuracy
Excellent organizational and time-management skills
Ability to handle multiple tasks and prioritize effectively in a deadline-driven environment
Strong communication and problem-solving skills
Proficiency in Microsoft O????ice (Excel, Word, Outlook); CRM experience is a plus
Preferred Skills:
Familiarity with account opening procedures and transfer processes (ACATs, rollovers, etc.)
Understanding of basic investment and insurance products
