Essential Job Functions
Freight Bill Audit & Validation
Audit carrier freight bills (LTL, TL, Parcel, accessorial) against contracted rates, spot quotes, and shipment details in the TMS (e.g., 3GTMS).
Validate shipment weights, freight class, dimensions, service levels, fuel surcharges, and accessorial charges.
Identify duplicate charges, incorrect rating, unauthorized fees, and billing errors.
Re-rate shipments and update system cost details to ensure alignment between invoices and approved charges.
Dispute Management & Carrier Communication
Research discrepancies using shipment documentation (BOLs, rate confirmations, contracts).
Communicate directly with carriers to dispute incorrect charges and request invoice corrections.
Track and manage open disputes through resolution
Maintain clear documentation and audit trails for all disputes and adjustments.
System Accuracy & Financial Controls
Update shipment data in the TMS to reflect accurate execution details and charges.
Ensure audited freight bills are properly approved and positioned for AP processing.
Partner with IT to ensure client-specific billing rules, coding, and charge allocation requirements are built into the TMS.
Partner with Accounts Payable to support invoice approvals, accruals, and billing deadlines.
KPI Ownership & Performance Management
The Operations Audit Analyst is accountable for meeting and supporting audit-related KPIs, including but not limited to:
