A rapidly expanding ABA therapy organization is seeking an Operations Coordinator to support the daily operations of one of its pediatric therapy centers in Beachwood, Ohio. The Operations Coordinator will play a central role in the overall functionality and organization of the center. This individual will serve as one of the primary points of contact for families while overseeing many of the administrative and operational responsibilities that keep the clinic functioning efficiently. From managing intake calls and coordinating schedules to supporting check-in/check-out processes and assisting with general center operations, this role requires someone who is highly organized, personable, detail-oriented, and capable of managing multiple priorities simultaneously.

The Operations Coordinator will work closely with the Center Director and clinical team to help ensure smooth communication, strong workflow management, and an exceptional overall experience within the center. The right individual will be proactive, dependable, solutions-oriented, and comfortable handling both front-facing family interactions and behind-the-scenes operational coordination.

Responsibilities

  • Manage incoming family intake calls and provide a welcoming, professional first impression for prospective clients
  • Coordinate and support the onboarding process for new families entering services
  • Handle daily client check-in and check-out processes within the center
  • Maintain and manage scheduling for clients, staff, and therapy sessions
  • Support ongoing communication with families regarding scheduling updates, attendance, and operational matters
  • Assist with maintaining accurate administrative records and documentation
  • Provide general operational support to ensure smooth daily center functionality
  • Support the Center Director with administrative and organizational tasks as needed
  • Help maintain a positive, organized, and professional clinic environment
  • Coordinate with clinical and operational teams to address scheduling conflicts and workflow needs
  • Monitor attendance, cancellations, and scheduling consistency to support efficient operations
  • Ensure a high level of customer service and professionalism in all family interactions

Qualifications

  • Previous experience in an administrative, operations, front desk, scheduling, or coordinator role required
  • Experience in healthcare, ABA therapy, pediatrics, medical offices, or behavioral health environments strongly preferred
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Comfortable handling high-volume phone calls and family communication
  • Ability to work in a fast-paced, team-oriented environment
  • Strong attention to detail and follow-through
  • Proficient with scheduling systems, Microsoft Office, Google Workspace, and general administrative technology
