Schedule: Hybrid (Monday & Friday WFH, Tuesday–Thursday in office)
Hours: 40 hours/week, standard business schedule

Overview

We are seeking an Operations Coordinator to support contract, data integrity, and reporting activities for project delivery and licensing workflows. This role is ideal for someone detail-oriented, organized, and comfortable working with data in Excel/Power BI, tracking systems, and internal process workflows.

This position involves validating project and contract data, maintaining accurate documentation, and coordinating with internal teams to ensure timely completion of deliverables.


Key Responsibilities

  • Validate system data related to contract timelines and enter updates when necessary.

  • Support data accuracy checks related to contract preparation and processing needs.

  • Maintain and update project tracking tools and internal databases daily with complete accuracy.

  • Analyze project and operational data using Excel and Power BI reporting tools.

  • Ensure project files and documentation are complete, organized, and up to date.

  • Assist with resolving PAI (Pending Additional Information) items to keep workflows moving.

  • Coordinate follow-up and action items between Contract Management and business partners.

  • Provide administrative and data support to Contract Specialists and Analysts.

  • Escalate issues early to prevent delays or risk to project timelines.


Required Qualifications

  • 2+ years of operational support or coordination experience

  • Strong proficiency in Microsoft Excel, PowerPoint, and Word

  • Experience working with tracking systems, databases, or project management tools

  • Excellent organizational skills and attention to detail

  • Ability to manage multiple priorities in a fast-paced environment

  • Strong verbal and written communication skills


Preferred Qualifications

  • Associate's or Bachelor's degree (or equivalent experience)

  • Experience with Smartsheet or similar workflow software

  • Familiarity with contract processes or document control environments
