Summary
The Show Site Operations Coordinator provides administrative, labor, logistical, and operational support to ensure the successful execution of exhibitions, conventions, and special events. This role serves as a critical operational resource by coordinating labor activities, workforce scheduling, timekeeping, payroll administration, purchasing, vendor management, event documentation, operational reporting, and customer support.
This position will support our Event & Exhibit Services team. The position follows an in-person schedule working full-time in-office and/or show-site based out of Dallas, TX.
Essential Duties & Responsibilities
Labor Coordination & Workforce Management
• Coordinate daily labor calls for show site and warehouse operations.
• Coordinate replacement labor and supplemental workforce resources.
• Work with union labor, temporary staffing agencies, and third-party labor providers.
• Track attendance occurrences, no-shows, cancellations, and workforce compliance issues.
Timekeeping & Payroll Administration
• Process labor hours for union, temporary, and supplemental labor personnel.
• Enter and verify payroll information including overtime, parking, travel pay, mileage, and specialty classifications.
• Create, distribute, track, and maintain crew sheets and labor documentation.
• Investigate and resolve payroll discrepancies.
Show Site Operations Support
• Support event execution before, during, and after events.
• Maintain show schedules, event calendars, and operational planning documents.
• Support Operations Managers, Directors, Supervisors, and Foremen with administrative and operational needs.
Procurement, Vendor Management & Financial Administration
• Create purchase orders and manage procurement requests.
• Coordinate with vendors regarding labor, rentals, permits, and event support resources.
• Track invoice status and assist with accruals and budget administration.
Documentation, Compliance & Reporting
• Maintain labor records, attendance documentation, safety documentation, inspection reports, and operational files.
• Generate operational reports supporting workforce planning and event execution.
Education & Experience
+ High School Diploma or GED required.
+ Minimum two years of experience in operations, event management, workforce coordination, logistics, administration, or related field.
+ Strong Microsoft Office skills and communication skills.
Travel Requirements
Travel up to 25%
