Manage operations within Student Life and Engagement, specifically creating, planning and implementing small and large events and student activities. Job Description
Essential Functions
- Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
- Lead the development and execution of student programming that includes, but is not limited to, student organization, leadership development, orientation, co-curricular initiatives, major campus events, and collaborations with other academic and administrative offices.
- Assist with student organization administration through:
- Communicating with student organizations about policies and procedures
- Providing process workflow support and event request assistance, as needed
- Create program promotions for the campus community, including administrative management of digital and social media tools for student organizations, leadership, and engagement.
- Manage office purchase processes, including payment request through reconciliation cycle, communication with vendors, expense tracking, and records.
- Manage hospitality and logistics components related to student programming and student leadership development, including but not limited to, catering, room reservations and setups, A/V, security, event registrations, event contracts, purchasing supplies, volunteer recruitment, and event preparations.
- Oversee the processing of event management logistics for the Student Affairs/OSLE, including student organizations, committees, and other student leadership organization.
- Collaborates with Student Affairs stakeholders to develop and achieve goals and measurable outcomes for the promotion of student health and well-being
Competencies (Knowledge, Skills, and Abilities Required):
Develop, promote, and distribute a comprehensive monthly schedule of Student Affairs Events,
Initiatives, and Activities
- Share these events electronically with pertinent campus partners
- Assist with tracking event attendance and student evaluation of events
- Support the creation and development of student engagement reports and data
- Co-lead the management of General Office Resources and Vendor
- Update and Revise event vendor and program equipment list and inventory
- Serve as the primary liaison to the preventive maintenance vendor, including office equipment repairs
- Support healthy communication and relationship building with current and future event vendors
- Maintain a file of vendor relationships, equipment warranties, and histories.
- Manage digital files and inventory, inclusive of programmatic data, student data, physical materials and resources utilized by Offices supported by the Assistant Provost and Student Affairs.
- Support the Assistant Provost with special projects as requested, including participation and support of Student Affairs/OSLE committee scheduling, management, and others as necessitated.
- Maintain rotational presence in the Office of the Assistant Provost
- Serve as a point of contact Student Affairs and the Office of Student Life and Engagement, by addressing phone and email inquiries, and establishing priority for addressing the needs of students and other constituents.

- Manage Timekeeping responsibilities
- Performs additional duties as assigned.
Minimum Education and Experience Requirements:
Education:
- Bachelors Degree in education, health sciences, business or related field preferred.
AND
Experience:
- Previous managerial experience preferred.
Additional Information
Proficiency with Microsoft Office (Word, Excel), Photoshop or like program for multimedia editorial purposes, understanding of social medial communication.
Demonstrated knowledge of program development and creation
