The Operations Coordinator is responsible for maintaining the day-to-day functionality, safety, and professionalism of the workplace. This role ensures the office, lab-adjacent spaces, and common areas remain organized, clean, and compliant with company policies.
This individual will regularly walk the facility floors to monitor workplace conditions, support employees and visitors, and coordinate with facilities, security, and vendors to resolve issues quickly. In a small biotech environment, this role is highly visible and critical to maintaining a productive, safe, and welcoming workplace.
Responsibilities
Workplace Operations
Conduct daily walkthroughs of office and common areas to ensure the workplace is clean, safe, and functioning properly.
Monitor restrooms, breakrooms, conference rooms, and shared spaces for cleanliness and supply levels.
Ensure hallways, exits, and doorways remain clear and compliant with safety standards.
Report or coordinate resolution of maintenance or facility issues (lighting, plumbing, furniture, etc.).
Submit and track facilities or janitorial service requests.
Visitor & Badge Management
Ensure all visitors follow company check-in procedures.
Support reception or front desk operations as needed.
Coordinate temporary badges or access requests.
Parking & Site Coordination
Monitor company parking areas to ensure spaces are used appropriately.
Distribute parking passes when needed.
Address parking issues or coordinate with building management when necessary.
Workplace Experience
Serve as a visible and approachable point of contact for employees regarding workplace needs.
Assist with room setups, small internal events, or meetings.
Support onboarding logistics (workspace readiness, badge coordination, etc.).
Help maintain an organized, welcoming office environment.
Safety & Compliance
Ensure fire exits, safety doors, and emergency routes remain unobstructed.
Escalate safety concerns promptly to leadership or facilities teams.
Support workplace policies regarding access control, safety, and shared space usage.
Facilities Coordination
Work with janitorial, maintenance, and building management teams to resolve issues.
Track recurring workplace needs and escalate trends when necessary.
Requirements
Required
2+ years experience in workplace operations, facilities support, office management, or a similar role
Strong attention to detail and ability to notice issues before they become problems
Excellent communication and customer service skills
Ability to work independently and prioritize tasks
Comfortable working in a highly visible, employee-facing role
Ability to walk the facility frequently throughout the day
Compensation and Benefits
The posted salary range represents Capricor’s good-faith estimate of the salary range reasonably expected to be paid for this position at the time of hire. Final compensation will be determined based on job-related factors, including the candidate’s relevant experience, education, skills, certifications, scope of role, location, and internal equity.
This position may also be eligible for a discretionary annual performance bonus and, depending on the level of the role, long-term equity incentive awards in accordance with company policy.
