Job Overview

Position Summary

This role exists at the intersection of strategy and execution. Reporting directly to the President, this person serves as a force multiplier - turning direction into action, protecting the President's time and focus, and ensuring operational discipline and momentum. The Operations Development and Special Projects Coordinator is self-directed, resourceful, trusted by everyone in the building, and takes full ownership of outcomes.

Essential Duties & Responsibilities

Reduce Noise for the President

  • Triage email - routing, responding to, and resolving what doesn't need to escalate
  • Manage the calendar - protecting time, prioritizing what matters, declining or delegating what doesn't
  • Prepare meeting briefs for the President and relevant stakeholders, take notes, and own all follow-up
  • Research options and present recommendations so the President makes informed decisions
  • Maintain a live view of projects so the President can easily review rather than chase updates
  • Handle travel, event, and meeting logistics end to end as directed

Manage Relationships Across the Organization and Beyond

  • Build and maintain genuine, trusted relationships with staff at every level of the company - not as an extension of the President's authority, but as a credible, respected colleague
  • Serve as a liaison and point of contact for the President's external professional relationships including insurance, legal, finance, accounting, vendors, and partners
  • Keep routine external matters moving without requiring the President's direct involvement

Execute Special Projects

  • Take on a wide range of projects and tasks, in breadth and scope, as directed by the President - from hands-on venue tasks to financial analysis, process improvement recommendations, research, and strategic preparation
  • Reduce ambiguity; take a defined objective and execute it fully and autonomously, making sound judgment calls along the way without waiting to be told every next step

Participate in Operational Events

  • During high-demand periods such as seasonal restaurant openings, participate in whatever capacity is needed - operational, logistical, or otherwise

Build Visibility Through Dashboards & Reporting

  • Create and maintain executive dashboards, summaries, and execution trackers that give leadership a clear view of priorities, risks, and progress
  • Review financial and operational reports and flag unusual patterns, delays, or bottlenecks with urgency

Drive Execution Across the Organization

  • Translate discussions, goals, and initiatives into clear, structured action plans; ensure that work has scope and milestones before it begins and that structured expectations are delivered to all involved parties
  • Attend meetings, capture notes, define ownership, and set deadlines
  • Sequence tasks in alignment with the President's priorities to minimize reactive work and keep the organization focused
  • Maintain a comprehensive tracker of open projects, commitments, and deadlines across the company
  • Follow up with internal leaders, vendors, and stakeholders to ensure progress; push respectfully when timelines slip and escalate to the President when work stalls
  • Own completion - not just initiation

Identify Problems and Fix Them at the Root

  • When something breaks repeatedly, go beyond the symptom to identify the systemic cause and recommend meaningful long-term solutions
  • Document improved processes and roll out updated protocols to prevent recurrence

Minimum Qualifications

  • Exceptionally organized with strong project management instincts
  • Strong communicator - written, verbal, and interpersonal
  • Comfortable switching between high-level strategic work and ground-level operational tasks
  • Able to move autonomously and make sound judgment calls without constant direction, and the understanding of when to escalate matters to the President or other company leaders for additional direction or collaboration, especially in high value or sensitive situations
  • Skilled at influencing and getting things done without direct authority
  • Financially literate - able to read, produce, and interpret reports
  • Discreet, trustworthy, and professional in all interactions
