Operations Manager
Reports To: Executive Director (or Chief of Staff)
Status: Non-Exempt, Part-Time, 20 hours per week, with potential to grow into Full-Time
Hourly rate: $35-42, depending on experience
Start date: June 1, ideally sooner
Position Overview
The Operations Manager supports the organization's internal infrastructure through a focused role centered on contracting systems support, process improvement, grant management support, and operational coordination. This position helps strengthen internal workflows, improve consistency across systems, and support the organization's ability to function efficiently and adapt effectively.
This is a 20-hour-per-week position with the potential to grow into a full-time role as organizational needs expand. The position is hybrid, with some functions able to be performed from home; however, a minimum of 2 days per week in the office is required to support operational coordination, staff support, and in-person collaboration. Grounded in servant leadership principles-including empathy, collaboration, stewardship, and a commitment to staff growth-this role takes a solutions-oriented approach to improving systems, supporting teams, and strengthening day-to-day operational effectiveness.
Key Responsibilities
Systems Improvement & Process Coordination
- Support the review and improvement of operational workflows.
- Assist in documenting procedures, tracking process updates, and supporting implementation of new systems.
- Help coordinate change management efforts through staff communication, follow-up, and administrative support.
- Collaborate with leadership to improve clarity, consistency, and coordination across basic internal systems.
Grant Management Support
- Support grant tracking, reporting timelines, and compliance documentation.
- Maintain organized grant files, reporting calendars, and funder requirements.
- Help gather information from staff needed for grant compliance and reporting.
Administrative Coordination
- Provide support for day-to-day office operations, including vendor coordination, supplies, and general administrative systems.
- Coordinate basic facility needs and office support tasks as assigned.
- Liaise with IT vendors and support routine technology coordination.
- Keep operational systems organized, accessible, and functioning effectively.
Team Support & Communication
- Support logistics for staff meetings, board meetings, and internal events as needed.
- Help communicate updates and reminders to staff in a timely manner.
- Support cross-functional coordination and follow-through on operational tasks.
- Contribute to a collaborative, responsive, and solutions-oriented team environment.
Qualifications
- 4–7 years of experience in nonprofit operations, administration, project coordination, or contracting support.
- Experience supporting process improvement, systems change, or organizational change efforts.
- Strong organizational and project coordination skills with attention to detail.
- Familiarity with contract compliance, documentation, and nonprofit operational practices.
- Experience supporting grant reporting, compliance, or grant administration.
- Ability to manage multiple priorities in a part-time, collaborative environment.
