Operations Manager - Parts & Service

CornerStone is seeking an experienced Operations Manager – Parts & Service to lead a team and oversee parts, receiving, inventory, and service operations. Must have experience matching incoming parts/equipment to open quotes or orders, balancing against purchase orders, and resolving discrepancies.

ROLE IMPACT

Lead the people and daily operations responsible for receiving, processing, tracking, servicing, and shipping customer parts and equipment. This role owns the operational workflow from initial receipt through completion and return shipment, ensuring parts and equipment are properly matched to orders, quotes, and purchase orders while maintaining accurate inventory and documentation. Success is measured by team performance, order accuracy, efficient turnaround times, strong customer communication, and consistent operational results.

KEY RESPONSIBILITIES

• Directly supervise, train, coach, and manage employees while assigning daily priorities, balancing workloads, and monitoring individual and team performance.
• Oversee the daily receiving and processing of incoming parts, equipment, materials, and customer orders.
• Match incoming parts and equipment to open quotes, customer orders, purchase orders, work orders, and supporting documentation.
• Review and balance receiving activity against purchase orders, verifying part numbers, quantities, pricing, and other required information for accuracy.
• Research and resolve discrepancies involving parts, quantities, purchase orders, quotes, inventory, shipments, or customer documentation.
• Manage the operational workflow from receiving through service completion and outbound shipment, ensuring deadlines and customer commitments are met.
• Oversee shipping, receiving, inspection, labeling, storage, and inventory tracking while maintaining accurate accountability for customer-owned equipment and assets.
• Manage work orders, service requests, quotes, purchase orders, customer accounts, and scheduling across multiple active jobs.
• Coordinate with technicians and internal departments to monitor work in progress, prioritize urgent requests, address bottlenecks, and keep operations moving efficiently.
• Communicate directly with customers and vendors regarding orders, missing information, discrepancies, service status, turnaround times, delays, and issue resolution.
• Monitor operational KPIs including productivity, backlog, turnaround time, order accuracy, service levels, shipments, and customer issues.
• Identify workflow issues and implement process improvements that increase efficiency, accuracy, turnaround time, and customer satisfaction.
• Ensure employees and operations follow established procedures, quality requirements, documentation standards, and workplace safety expectations.

MINIMUM QUALIFICATIONS

• 3–5+ years of experience in parts operations, warehouse operations, service center operations, distribution, technical services, manufacturing operations, logistics operations, or a related environment.
• Previous supervisory or management experience with direct responsibility for leading employees, assigning work, training/coaching staff, and monitoring team performance.
• Hands-on experience with receiving parts, materials, or equipment and matching incoming items to open quotes, orders, purchase orders, or work orders.
• Experience reviewing, matching, and balancing purchase orders and researching discrepancies involving parts, quantities, pricing, inventory, or documentation.
• Experience managing or overseeing an operational workflow beyond solely performing individual shipping, receiving, material handling, or warehouse tasks.
• Experience managing multiple orders, work orders, service requests, deadlines, and operational priorities simultaneously.
• Direct customer and/or vendor communication experience, including researching and resolving order, shipment, service, or documentation issues.
• Experience tracking KPIs, productivity, turnaround times, service levels, or other operational performance metrics.
• Experience using ERP systems, inventory/order management systems, work order systems, and Microsoft Office.

• Experience working with customer-owned parts, equipment, or assets that require tracking throughout a service, repair, or technical process.
• Familiarity with calibration services, test and measurement equipment, or other technical equipment.
• Experience coordinating workflows between warehouse employees, technicians, customers, vendors, and other internal departments.
• Experience with inventory control, KPI reporting, quality standards, workflow planning, and continuous process improvement.
