Operations & Purchasing Support Coordinator

Position Overview

We are seeking a proactive, tech-savvy, and detail-oriented Operations & Purchasing Support Coordinator to join our on-site team at our corporate office in Kinston, NC. Working directly alongside our Director of Customer Accounts & Operations, this role serves as an operational backbone across supply chain logistics, master data management, product sample administration, and customer service workflows. We are transitioning to automated workflows and connected digital tools—linking our core ERP to advanced inventory forecasting, seamless retail EDI integration, and automated tax systems. Key Responsibilities

1. Purchasing & Inbound Logistics Support

● Key and transmit approved Purchase Orders (POs) to domestic and international manufacturing suppliers.

● Utilize Valogix inventory planning software to track replenishment triggers, stock velocity, and automated forecasting data.

● Track active in-transit ocean container shipments, review Bills of Lading and shipping manifests, and update milestone dates in the ERP system.

● Prepare incoming container receiving packets and packing manifests for warehouse fulfillment personnel.

● Reconcile physical warehouse receiving tallies against vendor packing slips, finalize inventory receipts in Lisa WMS and SAP Business One, and assemble audited documentation for accounting payment release.

2. ERP Master Data, EDI & E-Commerce Administration

● Execute new Item Master setup, creating SKUs, descriptions, pricing tiers, barcodes, packaging dimensions, and vendor cross-references across SAP Business One and Lisa WMS.

● Manage automated trading partner workflows and product catalog feeds using TrueCommerce EDI.

● Support automated tax calculations, transaction reporting, and exemption certificate tracking for Cowboy Tack web orders and wholesale dealer accounts using Avalara AvaTax.

● Populate complex product submission templates and web upload sheets for major EDI retail accounts using intermediate-to-advanced Excel formulas.

● Pull and compile raw monthly territory sales reports and baseline inventory reports for the sales team and executive leadership.

3. Product Sample & Trade Show Coordination

● Manage incoming new product development (NPD) samples: unbox, inspect, tag, catalog, and organize samples on showroom display walls.

● Maintain master NPD tracking spreadsheets with sample delivery dates, specifications, and supplier quote data.

● Coordinate sample display logistics for seasonal industry trade shows (including Dallas Market Center): pull, inventory, pack, and schedule outbound display shipments.

4. Customer Returns (RMA) & Secondary Backup Order Entry

● Process customer Return Merchandise Authorizations (RMAs), review warehouse return inspection slips, and present verified information for customer credit memo processing.

● Cross-train in standard SAP Business One order entry strictly to serve as secondary/backup coverage during team PTO, unexpected absences, or peak seasonal volume surges.
