This position is ideal for someone who enjoys balancing procurement, project administration, customer documentation, and construction billing while supporting multiple projects from kickoff through completion. You'll partner with Project Managers, vendors, field personnel, and the accounting team to ensure projects run efficiently and stay on schedule.Benefits PackagePaid HolidaysPaid VacationPTO401K retirement plan with 4% company match100% company-paid health insurance premiums for employees and their familiesKey ResponsibilitiesEnter and maintain project information in accounting and project management systemsTrack material deliveries, backorders, and resolve order issuesOrder materials and coordinate deliveries for active projectsPrepare monthly project billings and supporting documentationObtain vendor quotes and manage purchase ordersSupport Project Managers with submittals, RFIs, change orders, and closeout documentationOrganize and maintain project files and documentationCommunicate with vendors, customers, Project Managers, and field technicians to keep projects moving smoothlyCoordinate project meetings and track action itemsManage subcontractor documents, including insurance certificates and W-9sRequired QualificationsAt least two years of experience in operations support, purchasing, or project coordinationKnowledge of construction documentation and progress billing processesStrong proficiency with Microsoft Office, especially Excel, Word, and OutlookExcellent organizational, multitasking, and time management skillsProfessional verbal and written communication skillsPreferred QualificationsPrevious experience with a mechanical, electrical, HVAC controls, or building automation contractorFamiliarity with Sage 100 Contractor or similar softwareExperience preparing AIA billing applications (G702/G703)Working knowledge of building automation systems (BAS/BMS), HVAC controls, or low-voltage constructionAssociate's or Bachelor's degree in Business, Construction Management, or a related disciplineCandidates will be required to pass a drug screening & background check upon being given a conditional offer of employment.
