Job Summary:

The Operations Specialist provides hands-on, essential front-line support for the Office of Undergraduate Admissions, serving as a primary point of contact for prospective students, families, and campus partners.

Minimum Qualifications:

  • High School Diploma or GED required.
  • Minimum of three (3) years of related experience, or an equivalent combination of education, training, and experience.

Relevant combinations of education, training and experience may be considered.

Minimum Knowledge, Skills, and Abilities:

  • Strong attention to detail
  • Proficiency with Microsoft Office
  • Working proficiency with Slate CRM
  • Familiarity with document imaging systems, transcript automation processes, and test score loading
  • Comfort with data entry quality standards and admissions data auditing
  • Excellent customer service and communication skills
  • Ability to compose routine correspondence and reports

Preferred Knowledge, Skill, and Abilities:

  • Experience working with Banner Student Information System (Banner SIS), including student records management, admissions processing, and data inquiry functions.

Representative Job Duties:

  • Processes incoming application materials, including transcripts, test scores, and supporting documents, ensuring accurate and timely entry into SIS and CRM platforms.
  • Provides telephone and front desk coverage as scheduled, answering questions, routing calls, handling parent, counselor, and student inquiries, and resolving issues within 24 hours.
  • Serves as a front-line resource for prospective students and families, responding to inquiries via phone, email, and in person.
  • Supports document imaging system operations for incoming admissions materials.
  • Supports Slate-to-Banner integration processes and data quality initiatives.
  • Supports transcript automation processes, including Parchment and electronic transcript systems.
  • Supports test score loading operations from College Board and ACT.
  • Supports application data quality auditing and verification activities.
  • Maintains organized filing systems, supports mail processing, and assists with data entry, quality assurance, and document verification.
  • Generates routine reports, assists with residency classification inquiries, and supports the admissions team during peak processing periods.
  • Partners with the Associate Director of Transfer Admissions to process credit evaluations, ensuring accuracy and consistency in transfer credit awards.
  • Assists with event logistics and preparation.
  • Performs other duties as assigned in support of departmental and institutional objectives.

Business Hours with weekends or evenings occasionally required

Starting Salary/Rate:

Expected hiring range: $18.50 -$22.00
