Job Title: Operations Specialist – Institutional Retirement Payroll & Benefits
Location: 9000 SOUTHSIDE BLVD BLDG 400, Jacksonville, FL (Onsite → Hybrid after initial training period; minimum 3 days onsite)
Duration: 12-month contract (potential contract-to-hire)
Start Date: ASAP – pending onboarding checks
Pay Rate: Up to $21.02/hr (W2, paid weekly)


Position Overview

The Operations Specialist will support the Institutional Retirement Payroll, Benefits, and Disbursements team within Wealth Management Operations. This team manages payroll processing, participant-level maintenance, tax reporting support, and money movement for retirement products including 401(k), Non-Qualified Deferred Compensation (NQDC), Defined Benefit, Institutional Trust, Custody, and Health Benefits Solutions.

This role focuses primarily on 401(k) and NQDC payroll processing, ensuring accurate, timely, and compliant transaction execution. The position reports to the Senior Operations Manager and collaborates closely with Customer Service Managers, Plan Sponsors, and internal stakeholders in a fast-paced operational environment.


Key Responsibilities

  • Process incoming Non-Qualified Contribution payrolls and support 401(k) payroll transaction workflows, ensuring accuracy and timeliness in accordance with established procedures and regulatory requirements.
  • Perform manual enrollments, data corrections, and resolution of payroll file rejects while maintaining compliance with audit standards and internal controls.
  • Monitor assigned retirement plans and coordinate directly with Plan Sponsors, Customer Service Managers, and internal operational teams to ensure seamless processing and issue resolution.
  • Maintain high attention to detail while managing multiple concurrent requests and deadlines in a high-volume, time-sensitive environment.
  • Ensure adherence to regulatory guidelines, internal policies, and operational procedures while proactively identifying and escalating discrepancies or processing risks.

Required Qualifications

  • Highly organized, self-starter with strong initiative and ability to work independently.
  • Excellent written and verbal communication skills with the ability to influence, negotiate, and collaborate across stakeholders.
  • Strong multitasking and prioritization skills with proven ability to manage competing deadlines.
  • Advanced proficiency in Microsoft Excel and Word, with strong attention to detail.
  • Ability to adapt quickly in a fast-paced, changing operational environment.
  • Bachelor’s degree preferred.
