Job Summary
The primary purpose of the Operations Specialist provides administrative and project support to the leadership team within the Technology and Transformation Teams. It requires a proactive approach to supporting the development and execution of schedule management, in a dynamic environment with deadline driven timelines. This role will provide the Technology and Transformation department with efficient and smooth day-to-day operations, allowing leaders to focus on more advanced responsibilities.

Associate Responsibilities
- Provide independent administrative support to senior leadership, including managing calendars, scheduling meetings, preparing correspondence and presentations, managing travel arrangements, and expense submissions.
- Communication facilitation within the greater IT, GTM, Transformation, CCG, and Strategy and Insights teams
- Responsible for consistent template creation for slide decks and communications across the department, for visual consistency.
- Help plan, coordinate, and oversee events for all department meetings both on and off site.
- Maintain and administer department portal page.
- Coordinate and schedule reoccurring meetings such as town halls, leadership meetings, etc.
- Coordinate and support strategic planning processes, leadership forums, and cross-functional deliverables, ensuring key milestones, decisions, and action items are completed on schedule.
- Prepare agendas, presentations, meeting summaries, and briefing materials for strategic planning activities and leadership forums, while maintaining accurate records of priorities, decisions, and action items.
- Exercise a high level of tact and discretion due to frequency of corporate-wide internal and external contacts, some degree of exposure to confidential data and conversations with external individuals.

Required Education
- Associates degree or equivalent years of work experience may be considered in lieu of degree
Required Skills & Experience
- Minimum of 4 years of experience in an administrative support role; a minimum of one year of experience developing and executing project plans and supporting multiple projects simultaneously
- Ability to handle and manage confidential information and prioritize actions/deliverables for senior leadership with a high degree of discretion.
- Excellent written and oral communication skills with a proven ability to communicate with all levels of an organization.
- Outstanding organizational skills with demonstrated ability to multi-task, prioritize and deliver workload and while maintaining attention to detail.
- Computer skills, proficient in Microsoft Word, Excel, PowerPoint, Outlook required; experience with Microsoft SharePoint and Co-Pilot preferred.
- Flexibility, responsiveness, and willingness to take on assignments.
- Demonstrated team player and ability to work cross functionally
- Ability to work in and navigate the "gray".
Physical Requirements and Working Conditions
- Typical office environment; cubicle setting. Extended periods of time sitting and typing on a computer.
- Willing to work some weekends if necessary.
- Ability to travel in support of meetings, events, and special projects.
- This position has a Hybrid location: Associate will work on-site regularly as needed for work activities.
