You'll work closely with project managers, clients, and sub-consultants to coordinate contracts, proposals, change orders, insurance requirements, and related documentation throughout the project lifecycle. This role is a great fit for someone who is organized, detail-oriented, and enjoys keeping processes moving. From your first week, you'll gain hands-on experience with the support of a manager who takes the time to explain the why behind each workflow. We value accuracy, initiative, thoughtful questions, and a collaborative approach to getting things done.Critical Outcomes (First 6–12 Months)Client and sub-consultant contracts are coordinated efficiently from request through full execution, with minimal follow-up required from project managers. Proposals and change orders are accurate, complete, and professionally prepared before they are issued. Contract and insurance requirements are proactively tracked, with upcoming renewals identified and communicated at least 30 days in advance. Contract records are complete, current, accurately maintained, and audit-ready. Key ResponsibilitiesContracts & ProposalsPrepare, route, track, and close out client and sub-consultant contracts, amendments, and change ordersRun quality assurance reviews on proposals and change orders before client delivery, verifying fees, scope, and formattingMonitor upcoming contract expirations and certificate of insurance renewals, and flag them earlyMaintain contract records and system data, running periodic audits to keep information complete and currentCoordination & Team SupportLearn EPD's contract workflows and systems, then recommend efficiency improvements as your familiarity growsCommunicate clearly and professionally with project managers, clients, and sub-consultantsProvide backup coverage for Office Services in the Irvine office as needed - mail and deliveries, supply levels, company events, conference room, and common area setupPerform additional duties as needed to support company objectivesQualificationsRequired0–2 years of professional experience, or equivalent combination of education and experienceDemonstrated ability to pick up new tools, systems, and processes quicklyStrong attention to detail and organizational skills across multiple concurrent prioritiesClear written and verbal communication with internal and external stakeholdersIntermediate proficiency in Microsoft Word, Excel, and PowerPointComfortable working independently and collaboratively in a hybrid settingPreferredBachelor's degree in business or a related fieldGenuine interest in business operations, contracts, or professional services administrationExperience with e-signature platforms such as DocuSignCompensation & Benefits Medical, dental, and vision insurance; 401(k); generous PTO; flexible spending account; life and disability insurance; discretionary bonus program.This role is built as a starting point, not a dead end - the contracts lifecycle is one of the clearest windows into how a consulting firm actually operates. Employment Authorization: Applicants must be currently authorized to work in the United States.
